Director Of Marketing Operations

This is a hybrid position. 3-4 days per week in the office in West Chicago, IL or Southfield, MI are required.

We are seeking a detail-oriented and execution-focused Director of Marketing Operations to support the SVP, Client Service on a confidential strategic client engagement. This role will help drive operational discipline across invoicing, client approvals, project status management, budgeting, and forecasting. The ideal candidate brings strong project management skills, financial acumen, client-facing confidence, and the ability to coordinate across internal teams and client stakeholders with accuracy, urgency, and professionalism.

Client Invoicing & Financial Operations
  • Verify invoices for accuracy, completeness, and alignment to approved scope, client requirements, and internal billing standards.
  • Serve as the primary day-to-day point of contact with the client for invoice-related questions, documentation, timing, and resolution of open items.
  • Coordinate internal reviews and approvals required to support timely and accurate billing and client submission.
  • Track invoice status, payment progression, and outstanding items, escalating risks or delays as appropriate.
Approval Management & Governance
  • Manage and document required client and internal approvals, ensuring proper backup, audit readiness, and clear ownership.
  • Maintain organized records of decisions, approvals, requests, and changes to support transparency and traceability.
  • Partner with Finance, Account Management, Legal/Compliance, and operational stakeholders to ensure processes are followed consistently.
Project Management & Status Reporting
  • Support the SVP, Client Service with project planning, milestone tracking, issue management, and executive-ready status updates.
  • Maintain project trackers, action logs, timelines, and reporting materials to provide clear visibility across workstreams.
  • Identify dependencies, risks, and blockers early and coordinate follow-up to keep work moving against agreed priorities.
  • Facilitate communication across internal stakeholders and client contacts to ensure alignment on deliverables, timing, and next steps.
Budgeting, Forecasting & Business Visibility
  • Support budget tracking, forecast updates, and variance review for the client engagement.
  • Partner with internal finance and account teams to maintain visibility into expected spend, invoicing status, and financial impacts.
  • Prepare concise summaries and reporting inputs that help leadership understand budget progress, risks, and decisions needed.
Qualifications
  • 5+ years of experience in marketing operations, account operations, client service, finance operations, project management, or a related role.
  • Experience managing invoicing, approvals, budgeting, forecasting, or operational reporting in a client-facing environment.
  • Strong attention to detail with the ability to review financial documentation and identify discrepancies or missing information.
  • Excellent communication and stakeholder management skills, including comfort engaging directly with client contacts.
  • Proven ability to manage multiple priorities, track details, and drive follow-through in a matrixed organization.
  • Proficiency with Microsoft Office tools, especially Excel and PowerPoint; experience with project tracking or financial systems preferred.

Compensation Range: USD $121,315.00 - USD $174,300.00/Annually. This is the pay range the Company believes it will pay for this position at the time of this posting. Consistent with applicable law, compensation will be determined based on the skills, qualifications, and experience of the applicant along with the requirements of the position, and the Company reserves the right to modify this pay range at any time. Temporary roles may be eligible to participate in our freelancer/temporary employee medical plan through a third-party benefits administration system once certain criteria have been met. Temporary roles may also qualify for participation in our 401(k) plan after eligibility criteria have been met. For regular roles, the Company will offer medical coverage, dental, vision, disability, 401k, and paid time off.
