The Tax Operations & Resolutions Coordinator plays a key role in ensuring the smooth and efficient operation of the firm's tax department. This position oversees core operational workflows, supports process improvement initiatives, coordinates departmental administrative functions, and helps keep projects and deadlines on track throughout the year. The role also serves as the primary point of contact for tax notices, managing the resolution process from receipt through completion while collaborating with team members to ensure timely and accurate outcomes.

What You'll Do
  • Own and manage the firm's recurring tax operations, ensuring critical workflows are completed accurately and on schedule throughout the year.
  • Monitor tax return production, department capacity, due dates, and workflow metrics to keep the team on track and leadership informed.
  • Coordinate key tax processes, including organizer distribution, engagement letters, e-file authorizations, extensions, return tracking, and cross-system reconciliations.
  • Identify operational bottlenecks and process improvement opportunities, recommending and implementing more efficient workflows.
  • Serve as the department's operational resource by coordinating CPE, training schedules for new hires and interns, progress tracking, and other administrative initiatives.
  • Provide support for departmental projects and operational priorities as business needs evolve.
  • Serve as the primary point of contact for all tax notices, managing the process from initial intake through final resolution.
  • Review, triage, and track tax notices, gather supporting documentation, prepare responses to taxing authorities, and manage all related correspondence.
  • Maintain accurate records and workflows across the firm's tax technology platforms, ensuring information is complete, reconciled, and up to date.

  • You are an organized, detail-oriented operations professional who thrives on creating structure, managing priorities, and keeping complex workflows running smoothly. You enjoy bringing order to moving parts and take pride in ensuring nothing falls through the cracks.

  • You have experience coordinating recurring processes, managing deadlines, and working across multiple technology platforms. Experience with tax workflow software such as Canopy, CCH Axcess, SafeSend, Gather, Aiwyn, or similar systems is preferred.

  • You are proactive and solutions-oriented. You naturally identify opportunities to improve processes, eliminate inefficiencies, and help your team work more effectively.

  • You communicate professionally and build trust with clients, colleagues, partners, and taxing authorities through responsiveness, follow-through, and attention to detail.

  • You are a college graduate with relevant experience in operations, accounting, tax administration, or a related field. Experience in a public accounting or professional services environment is preferred.
