What is a financial operations associate?

Financial Operations Associates are professionals who support the financial activities of an organization, including managing transactions, reconciling accounts, processing invoices, and assisting with budgeting and reporting. They ensure that financial records are accurate and in compliance with regulations. Their role is crucial in maintaining the smooth operation of a company's financial processes and supporting the finance team with daily administrative and analytical tasks.

What are some common challenges financial operations associates face when managing transaction accuracy and reporting deadlines?

Financial Operations Associates often navigate tight deadlines and high transaction volumes, which can make maintaining accuracy a challenge. They must pay close attention to detail when reconciling accounts, processing payments, and preparing financial reports to ensure compliance and avoid discrepancies. Additionally, collaborating with cross-functional teams such as accounting, compliance, and treasury requires strong communication skills to resolve issues efficiently. Adapting to frequent changes in regulations or internal processes is also a key aspect of the role.

What are the key skills and qualifications needed to thrive as a financial operations associate, and why are they important?

To thrive as a Financial Operations Associate, you need strong analytical abilities, attention to detail, and a foundational understanding of accounting or finance principles, often supported by a relevant degree. Familiarity with financial software such as Excel, ERP systems (like SAP or Oracle), and possibly certifications like CPA or CFA are highly valued. Excellent organizational skills, clear communication, and the ability to work collaboratively make someone stand out in this role. These skills ensure accurate financial processing, compliance, and effective coordination within a fast-paced finance environment.

Job description

Government Sales Operations Associate
Department: Operations
Employment Type: Full Time
Location: USA, East Coast (Home based)
Description
About us
We are Digital Science and we are advancing the research ecosystem.
We are a pioneering technology company, and our vision is of a future where a trusted and collaborative research ecosystem drives progress for all. We believe in better, open, collaborative and inclusive research. In creating the next generation of tools and working in partnership with the community we tackle some of the biggest challenges to research. In order to achieve our vision, we need innovative, inspiring and dynamic people to join our team. Want to join us?
Your new role - The Sales Operations Associate is a member of the Sales Operations team. This position provides essential operational support to the sales, finance, legal and segment teams throughout the customer pre-sales, contracting, and renewal processes - including maintaining accurate contract information in Salesforce and ensuring smooth, efficient operations across all functions. This role provides dedicated Sales Operations support to the Government, Funder, and Non-Profit (GFN) segment, helping to ensure smooth and efficient operations throughout the new business and renewals cycle. Please note, strong preference for someone in USA, EST hours. Additionally, this role supports our Government segment specifically, so experience navigating public sector procurement (e.g., purchase orders, vendor forms, and government contracting and invoicing requirements) is required.
What you'll be doing
  • Providing Primary Sales Operations Support for the GFN Segment - Serving as the dedicated operational point of contact for the Government, Funder, and Non-Profit (GFN) sales team, supporting them through the full day-to-day sales cycle from pre-sales through to close
  • Liaising Between Finance & Legal - Acting as the bridge between the GFN sales team and the Finance and Legal functions, coordinating on new/upsell/renewal contracts, approvals, and signatories to ensure smooth and timely deal execution
  • Providing operational, administrative and clerical support to several departments - mostly sales, finance and legal - and to all companies that are part of the Digital Science group. Focus on pre-sales support, contracting and customer renewals.
  • Ensuring Salesforce is accurately updated with customer contract information for use by Finance, Sales, Legal, and business teams.
  • Supporting the legal team in ensuring that approved contracts are signed by the right signees.
  • Maintaining central repositories of customer and vendor contracts where applicable.
  • Responding in a timely manner to support business retention and meeting timelines to submit contracts, RFPs, registrations, and other key documents.
  • Proactively identify areas of process improvement and collaborate with the team and Sales Operations Manager on improvements.

What you'll bring to the role
  • A Bachelor's degree, ideally business related.
  • 2-3 years of experience in an operations-focused role, ideally sales-related.
  • Efficient, excellent attention to detail, organised and a natural problem solver.
  • Strong communication skills, both written and verbal, and comfortable working with internal and external stakeholders (including customers, government procurement, etc.) across various levels of seniority.
  • Ability to multi-task, prioritise, and pivot quickly.
  • Team-oriented with an emphasis on team building and communication.
  • Resourceful, solution focused with a positive attitude.
  • Proactive in following-up and confident in managing conflicting requests and expectations.
  • Strong interpersonal skills, ability to build relationships, being approachable and professional.
  • Understanding of working with cross functional teams across various locations and time-zones.
  • Salesforce knowledge is a requirement.
  • Experience supporting a Government, Funder, and Non-Profit (GFN) sales team is highly desirable

Don't worry if you don't meet every qualification-let us be the judge! Studies show that many qualified candidates from under-represented groups hesitate to apply unless they meet every single requirement. We are dedicated to building a diverse and inclusive team and strongly encourage you to submit your application.
