Job Summary

The Procurement Systems and Operations Analyst is responsible for managing the day-to-day integrity, administration, and continuous improvement of the procurement initiative management system. This role supports data accuracy across approximately 24 workstreams and 300+ initiatives, provides guidance to Hygiene Leads, maintains system structure and processes, and supports financial validation activities. The successful candidate is detail-oriented, process-focused, comfortable working with cross-functional and international stakeholders, and able to design and maintain repeatable workflows.

Job Responsibilities

  • Maintain the Asana Hygiene Dashboard and distribute daily action lists to Hygiene Leads.
  • Manage the Asana Hygiene Leads communication channel and resolve questions and system-related issues.
  • Lead weekly stand-up meetings to review priorities, progress, and outstanding action items.
  • Own ongoing Asana schema and field structure updates to improve clarity, accuracy, and process efficiency.
  • Develop training materials and conduct onboarding sessions for Hygiene Leads and international stakeholders.
  • Partner with Hygiene Leads to migrate and maintain required fields for active initiatives.
  • Develop and maintain a Quick Reference Guide covering Asana setup, initiative management, and ongoing system maintenance.
  • Assess, design, and communicate system enhancements, including AI enablement, streamlined templates, automated approval workflows, and data validation checks.
  • Define and document sustainable operating processes for ongoing system management.
  • Train Hygiene Leads on stage-gate template sign-offs and financial validation documentation requirements.
  • Maintain the Sign-Off Evidence Log and system requirements supporting financial validation and budget alignment.
  • Facilitate meetings between Category Leads and Finance teams to resolve financial validation issues and outstanding items.
  • Maintain and update the Financial Validation Tracker dashboard covering initiative validation status.
  • Monitor data quality and proactively identify gaps, inconsistencies, and process issues.
  • Support continuous improvement of procurement systems, processes, and operating practices.

Job Requirements

  • 5-7+ years of experience in program or project operations, systems administration, PMO analysis, or a related field.
  • Hands-on experience administering Asana, including custom fields, rules and automations, portfolios, and reporting.
  • Strong attention to detail and demonstrated ability to maintain data accuracy across a large and complex initiative portfolio.
  • Strong written and verbal communication skills.
  • Ability to train, support, and communicate effectively with non-technical stakeholders across multiple regions.
  • Process-oriented mindset with the ability to design, document, and maintain repeatable workflows.
  • Ability to manage multiple priorities and work effectively in a fast-paced environment.
  • Strong organizational and problem-solving skills.

Preferred Experience

  • Experience supporting procurement operations or procurement systems.
  • Experience working with financial validation, budget alignment, or stage-gate processes.
  • Experience supporting international or geographically distributed teams.
