Position Summary

Our Client is seeking a detail-oriented and client-focused Financial Investment Assistant to provide administrative, operational, and client service support to Financial Advisors and the broader investment team.

This is an excellent opportunity for an organized professional who enjoys working in a fast-paced financial services environment while delivering exceptional client experiences.

As a non-licensed team member, this position does not involve providing investment advice or executing securities transactions.


Key ResponsibilitiesClient Service & Relationship Support
  • Serve as one of the primary points of contact for clients regarding administrative and non-investment-related inquiries.

  • Schedule, coordinate, and confirm client meetings.

  • Prepare meeting agendas and assist with post-meeting follow-up activities.

  • Support new client onboarding by gathering required documentation and completing account paperwork.

  • Maintain accurate and up-to-date client information within the firm's CRM system.

  • Deliver exceptional client service while maintaining professionalism and confidentiality.


Administrative & Operational Support
  • Prepare and process documentation related to:

    • New account openings

    • Account transfers

    • Contributions

    • Distributions

    • Beneficiary updates

    • Account maintenance requests

  • Monitor outstanding paperwork to ensure timely completion.

  • Prepare client reports, statements, and presentation materials for Financial Advisors.

  • Coordinate communication between Advisors, Operations, Compliance, and other internal departments.

  • Assist with general office administration and workflow coordination.


Compliance & Documentation
  • Ensure all client documentation is complete, accurate, and compliant with company policies and applicable regulatory requirements.

  • Maintain organized client files in accordance with firm record retention policies.

  • Support internal audits, compliance reviews, and operational quality initiatives.

  • Safeguard confidential client and company information at all times.


Marketing & Client Engagement
  • Assist with preparing client communications, newsletters, and marketing materials.

  • Support planning and coordination of:

    • Client appreciation events

    • Educational seminars

    • Webinars

    • Prospect engagement activities

  • Help strengthen client relationships through timely and professional communications.


Required QualificationsEducation
  • High School Diploma or equivalent required.

  • Associate's or Bachelor's Degree in Finance, Business Administration, Accounting, or a related field preferred.

Experience
  • Minimum of 2 years of experience in:

    • Financial Services

    • Wealth Management

    • Banking

    • Investment Operations

    • Professional Administrative Support

  • Prior experience supporting Financial Advisors or investment professionals is highly preferred.

  • Experience working with CRM systems such as Redtail is a plus.


Technical Skills
  • Proficiency in Microsoft Office Suite including:

    • Word

    • Excel

    • Outlook

  • Experience working with CRM systems.

  • Strong computer and internet research skills.

  • Ability to learn financial software platforms quickly.

Full-Time Position

Monday - Thursday:
8:00 AM - 5:00 PM

Friday:
8:00 AM - 3:00 PM

Some flexibility in scheduling may be available; however, employees are expected to maintain a standard 40-hour work week unless otherwise approved through a flexible work arrangement.


Travel Requirements

Limited travel may occasionally be required for:
