Finance Assistant

Job Summary

The Finance Assistant supports the company's daily accounting and finance functions. This is a support role responsible for assisting with accounts receivable, accounts payable, bank reconciliations, and landed-cost administration. This position requires strong attention to detail, accuracy, and organization, as well as the ability to handle confidential financial information.

Reports to: Senior Controller

Supervisory responsibilities: None

Duties / Responsibilities

  • Processes accounts payable invoices, including coding, matching, and preparing invoices for approval and payment.
  • Assists with accounts receivable functions, including customer invoicing, payment posting, and follow-up on outstanding balances.
  • Performs bank reconciliations and researches discrepancies as needed.
  • Assists with tariff and landed-cost administration, including maintaining accurate records and supporting documentation.
  • Reviews vendor statements and helps resolve basic billing or payment questions.
  • Maintains organized and accurate accounting files and records.
  • Assists with month-end close activities as needed.
  • Communicates with internal departments, vendors, and customers as needed to resolve basic accounting questions.
  • Maintains confidentiality of company financial and employee information.

Required Skills / Abilities

  • Basic understanding of accounting, bookkeeping, or finance practices.
  • Strong attention to detail and accuracy.
  • Proficient in Microsoft Office, including Excel, Word, and Outlook.
  • Ability to organize work, meet deadlines, and follow established processes.
  • Strong written and verbal communication skills.
  • Ability to work independently while also supporting the finance team.

Education and Experience

  • Associate’s degree in Accounting, Finance, Business, or a related field preferred.
  • In place of a degree, at least three years of experience in an accounting, bookkeeping, or finance support role may be considered.
  • Prior office experience required.
  • Experience with accounts payable, accounts receivable, bank reconciliations, or general bookkeeping preferred.
  • Experience with NetSuite or another ERP/accounting system is a plus.

Physical Requirements

  • Prolonged periods of sitting at a desk and working on a computer.
  • Occasional lifting of office materials or files up to 15 pounds may be required.
