The Lead Inventory Associate is responsible for overseeing daily inventory operations and supporting the Pharmacy Fulfillment team in maintaining accurate inventory levels, compliance, and readiness for dispensing and shipping. This role serves as a mentor and resource to Inventory Associates, and is accountable for advanced inventory analysis, discrepancy resolution, and cross-departmental coordination. This role may assist in dispensing and packing prescriptions and OTC orders.  The Lead plays a crucial role in ensuring operational efficiency, regulatory compliance, and ongoing improvement.


KEY RESPONSIBILITIES:

  • Lead and coordinate daily inventory activities, including cycle counts, physical counts, and discrepancy investigations.
  • Operate forklifts and other warehouse equipment safely and efficiently.
  • Place and receive orders for products and supplies based on business rules and client requirements.
  • Inspect shipments for accuracy and resolve inconsistencies.
  • Ensure inventory readiness at dispensing stations per FEFO/FIFO standards.
  • Analyze inventory trends and discrepancies using available systems and data.
  • Quarantine and reconcile recalled, short-dated, and returned inventory.
  • Process returns and reshipments, including coordination with reverse distributors.
  • Operate pallet jacks, reach trucks, and forklifts as needed.
  • Monitor cold chain inventory and ensure proper temperature control and documentation.
  • Validate pharmaceutical inventory receipts against invoices and serialized data (DSCSA compliance).
  • Collaborate with Finance to ensure inventory practices align with financial risk guidelines.
  • Communicate effectively across departments and leadership to recommend and implement process improvements.
  • Interact and communicate with Pharmacy clients and manufacturers.
  • Mentor and support Inventory Associates, including training and performance feedback.

MINIMUM JOB REQUIREMENTS:

 

  • High School Diploma or equivalent
  • Pharmacy Technician license from the State of Indiana.
  • Forklift certification required.
  • At least 2 years of experience related to inventory management and ordering
  • Prior experience in training, lead roles, or supervisory positions preferred.
  • Experience with HIPAA, cGMP, and adverse events preferred.
  • Ability to read, write, speak, and understand the English language.

KNOWLEDGE, SKILLS & ABILITIES:

  • Excellent written and verbal communication skills.
  • Advanced analytical, problem-solving, and decision-making abilities.
  • Ability to accept changing workflows and unexpected demands requiring flexibility.
  • Ability to work under pressure and appropriately prioritize responsibilities.
  • Ability to work independently and prioritize responsibilities.
  • Ability to develop collaborative working relationships.
  • Ability to prepare and write investigation reports for management review.
  • Working knowledge of current cGMP Documentation Practices and Distribution Practices.
  • Thorough understanding of the State of Indiana Board of Pharmacy Regulations
  • Proficient in Microsoft Office Suite and internal software systems.
  • Proficiency in Microsoft Excel
  • Comprehensive knowledge of Microsoft Word, Excel, and other Microsoft Office tools.
