Job description

The Client Service Associate (CSA) will provide administrative and operational support to the lead advisor and company founder that would touch many disciplines including brokerage, advisory, insurance and employee benefits. Duties would include mastery of how we operate, learning systems and procedures. These would enable you to onboard new clients, open new accounts, monitor withdrawal & distribution requests, account maintenance tasks and bring a white glove experience to client interactions. This is a professional support role.

What Youโ€™ll Do

Financial Planning Support

  • Learn about our financial planning process.
  • Work with the Principal of the firm to prepare client financial plans, including gathering and organizing client financial data in our financial planning software.
  • Schedule planning meetings and assist with meeting preparation and follow up.
  • Support servicing for insurance policies, annuities and other outside investment accounts.
  • Contribute to miscellaneous projects that support our financial planning services.

Client Service & Account Operations:

  • Serve as the primary point of contact for incoming client calls.
  • Onboard new clients, facilitate opening new accounts and follow workflows.
  • Assist with account maintenance requests.
  • Assist our employer clients with onboarding new employees to their employee benefits.
  • Handle client service inquiries and resolve operational issues
  • Coordinate and monitor money movement, distributions, and account updates.
  • Touch base with clients as needed for a concierge-like experience.

Workflow & Systems

  • Master our workflows and systems.
  • Proactively manage and update a plethora of programs we use such as client relationship management, wealth reporting, financial planning and record keeping.
  • Become proficient with Charles Schwabโ€™s advisor program, our largest custodian.
  • Provide feedback on workflow improvements.

Office & Team Support

  • Assist advisor with compliance duties.
  • Help prepare quarterly wealth reports (e-Delivery) and annually by mail.
  • Assist advisor with manual Required Minimum Distribution calculations and monitor implementation.
Who You Are
  • You have been excellent at something difficult either personally or professionally.
  • Bachelor's degree preferred.
  • 3+ years of experience in financial services, ideally insurance or wealth management.
  • Coachable, curious, and open to feedback.
  • Strong attention to detail, organization, and follow-through.
  • Ability to manage multiple priorities and deadlines independently.
  • Clear and professional written and verbal communication skills with an ability to be compassionate in client interactions.
  • Proficiency with Microsoft Office and internet navigation.
Even Better If You Have

Experience using CRM systems, financial planning software, custodial platforms such as Schwab Advisor Center, Pershingโ€™s Netx360, Fidelity or wealth reporting such as Orion or Albridge.
