About the Role

As Lease Administration Manager, you will build and own the lease administration function that supports Zipline's rapidly expanding infrastructure portfolio across the United States. You will serve as the operational backbone of our real estate organization, ensuring every lease obligation, critical date, notice requirement, payment, amendment, and renewal is accurately tracked and executed.

This is the first dedicated lease administration hire on the team. We are looking for someone who enjoys creating structure from ambiguity, building systems from the ground up, and developing scalable processes that enable a high-growth deployment organization. You will be responsible for establishing portfolio management best practices, owning our lease administration software (Occupier), and ensuring that nothing falls through the cracks as we scale.

Success in this role requires exceptional attention to detail, strong organizational skills, and the ability to proactively identify risks before they become problems. You should be comfortable reading and interpreting commercial lease agreements, translating legal language into actionable business requirements, and coordinating across Site Acquisition, Legal, Development, Finance, and Operations teams.

This role sits at the intersection of real estate, operations, legal, and finance. You will help ensure our sites transition seamlessly from signed lease through due diligence, construction, launch, operations, and eventual renewal or termination.

What You'll Do

Lease Administration & Portfolio Management:

  • Serve as the primary owner of Zipline's lease administration function across a growing national portfolio.
  • Review,and maintain executed leases, amendments, assignments, easements, licenses, and related real estate agreements.
  • Track and manage all critical lease dates, including due diligence expirations, extension options, commencement dates, rent commencements, renewal options, termination rights, and notice requirements with the use of Occupier.
  • Ensure contractual obligations are proactively managed and executed in accordance with lease requirements.
  • Monitor landlord and tenant obligations and escalate risks before they impact deployment schedules.

Occupier System Ownership:

  • Serve as the system owner and subject matter expert for Occupier.
  • Maintain accurate lease records, portfolio data, documents, reporting, and workflows.
  • Develop scalable processes for lease abstraction, document management, and critical date tracking.
  • Build dashboards, reports, and portfolio analytics that provide visibility into upcoming obligations and portfolio health.
  • Partner with cross-functional stakeholders to continuously improve data quality and operational efficiency.

Deal Execution & Due Diligence Management:

  • Partner with Site Acquisition and Legal teams to ensure executed agreements are accurately reflected within Occupier and internal systems.
  • Manage due diligence timelines and ensure extension notices, termination notices, and other contractual requirements are delivered on time.
  • Coordinate lease commencements and transition sites from acquisition through development and operations.
  • Maintain visibility into site readiness and contractual milestones across multiple markets simultaneously.

Financial & Contract Administration:

  • Coordinate rent commencement schedules and support payment tracking with Finance.
  • Validate landlord invoices, rent obligations, reimbursements, and contractual payment requirements.
  • Support budgeting, forecasting, and portfolio reporting activities.
  • Assist with audits, compliance reviews, and internal reporting requirements.

Cross-Functional Coordination:

  • Partner closely with Site Acquisition, Legal, Development, Construction, Finance, and Operations teams.
  • Provide portfolio insights and recommendations that support deployment planning and risk mitigation.
  • Develop standardized processes, templates, and operating procedures as the portfolio scales.
  • Support special projects related to portfolio optimization, lease compliance, and real estate operations.

What You'll Bring

  • Bachelor's degree in Real Estate, Business, Finance, Legal Studies, Operations, or a related field.
  • 5+ years of experience in lease administration, real estate operations, portfolio management, contract administration, or a related field.
  • Experience administering commercial real estate portfolios and managing critical lease obligations.
  • Experience with lease administration software such as Occupier, Lucernex, LeaseHarbor, Visual Lease, CoStar Lease Administration, or similar platforms.
  • Strong understanding of commercial lease structures, lease abstraction, renewals, notices, commencement provisions, and contractual obligations.
  • Exceptional attention to detail and ability to manage large volumes of information with accuracy.
  • Strong organizational and project management skills, with the ability to manage competing priorities and deadlines.
  • Ability to interpret legal agreements and translate them into operational requirements.
  • Experience building processes and systems in a fast-paced, high-growth environment.
  • Strong communication skills and ability to coordinate effectively across multiple functions.

Bonus:

  • Experience supporting infrastructure, telecommunications, EV charging, logistics, industrial, or retail real estate portfolios.
  • Experience implementing or administering Occupier.
  • Experience working closely with real estate attorneys, site acquisition teams, and development organizations.
