Job Description

The ASU Meal Plan Office Manager is responsible for overseeing the day-to-day administration, reconciliation, customer support, and reporting processes for mandatory and voluntary meal plans across Arizona State University. This role serves as a key liaison between Aramark, ASU partners, students, families, subcontractors, and internal Finance and Operations teams to ensure meal plan activity is accurate, timely, and aligned with business requirements.

This position supports student experience, financial accuracy, and operational efficiency by managing meal plan downloads, voluntary plan setup, eCommerce sales tracking, declining balance commission requirements, system troubleshooting, and routine reporting. The manager must be highly organized, customer-service focused, detail-oriented, and comfortable working under deadlines during high-volume campus periods.

Job Responsibilities
  • Manage the ASU mandatory meal plan student download process for fall and spring semesters by campus, ensuring data is accurate and reconciled timely.
  • Oversee voluntary meal plan setup through the eCommerce system and ensure plans are active and functioning within 24 hours of student purchase or enrollment.
  • Track daily eCommerce meal plan sales and maintain accurate records for Finance, Operations, and leadership review.
  • Pull weekly, monthly, and year-to-date meal plan sales reporting and submit required information to the Finance team for P&L processing.
  • Reconcile deferred income activity monthly for mandatory meal plans, voluntary meal plans, and voluntary declining balance accounts.
  • Serve as the primary liaison between ASU partners, the Meal Plan Office, Aramark Finance, Operations, Sun Card, University Housing, students, and families regarding meal plan questions and issue resolution.
  • Support system troubleshooting and coordinate timely resolution of meal plan access, account setup, data upload, and transaction issues.
  • Ensure subcontractor requirements related to declining balance account commissions are followed, tracked, and communicated as needed.
  • Set up and track approved marketing promotions related to meal plans and provide performance updates when requested.
  • Prepare summer conference daily rate sheets and supporting documentation for Finance and Operations.
  • Compile, analyze, and report meal plan, sales, customer, and financial data in response to management requests.
  • Maintain organized documentation, standard operating procedures, audit support, and process records to support compliance and continuity.
  • Provide customer service support by responding to phone calls, emails, student/family inquiries, campus partner questions, and escalated meal plan concerns.
  • Identify opportunities to improve office processes, reporting accuracy, communication, and overall meal plan administration.
Qualifications
  • Associate degree in Business, Finance, Accounting, Hospitality, or a related field preferred; equivalent work experience may be considered.
  • Minimum two years of experience in customer service, administrative operations, financial support, account reconciliation, campus services, or a related high-volume environment preferred.
  • Strong attention to detail with the ability to review, reconcile, and maintain accurate data across multiple systems.
  • Excellent verbal and written communication skills with the ability to support students, families, campus partners, leadership, and internal teams professionally.
  • Ability to manage multiple deadlines, prioritize competing requests, and adapt quickly during peak campus periods.
  • Strong problem-solving skills with the ability to research issues, escalate appropriately, and follow through to resolution.
  • Proficient computer skills, including Microsoft Excel, Word, Outlook, and Teams; experience with Power BI, eCommerce systems, student account systems, or financial reporting tools is a plus.
  • Ability to work cross-functionally with Finance, Operations, client partners, subcontractors, and campus service teams.
  • High level of professionalism, confidentiality, organization, and accountability.
  • Prior experience in higher education, hospitality, food service, meal plan administration, finance support, or student services preferred.
  • Background check required.
