Job Title: Business Operations Associate
Location: Hybrid (181 Harry S Truman Parkway | Suite 110 Annapolis, Maryland 21401)

About the Role
We are seeking a highly organized and detail-oriented Business Operations Associate to support cross-functional operations across all practice areas. This role will play a critical part in ensuring smooth day-to-day business operations, with a strong focus on invoicing, financial coordination, and operational support.
The ideal candidate has a background in accounting, finance, or contracts administration, and is eager to grow into a broader operational and financial support role. This individual will work closely with the Contracts and Accounting Manager as well as internal stakeholders and leadership, including direct support of accounting functions.

Key Responsibilities
  • Provide operational support across all business practices
  • Assist with invoicing processes for all direct clients, ensuring accuracy and timeliness
  • Partner with internal teams to gather necessary billing details and resolve discrepancies
  • Support financial tracking, reporting, and documentation as needed
  • Support the review and administration of client contracts, SOWs, and amendments, ensuring key terms (billing schedules, payment terms, deliverables, and renewals) are accurately tracked and aligned with invoicing
  • Maintain organized contract and financial documentation, monitor contract lifecycles, and proactively flag upcoming deadlines or discrepancies
  • Assist with contract review, compliance tracking, and administrative support where applicable 
  • Assist in improving contract management and operational processes, while serving as a backup for accounting functions within Certina as needed
  • Help improve and streamline operational and financial processes over time
  • Collaborate cross-functionally to ensure alignment between operations, finance, and delivery teams

Qualifications
  • 1-3 years of experience in business operations, accounting, finance, or contracts administration
  • An understanding of invoicing, billing processes, and financial coordination
  • High attention to detail paired with strong organizational skills
  • Ability to manage multiple priorities and work across different functional areas
  • Proficiency in MS Office, especially Excel and/or financial systems such as NetSuite or Certinia
  • Strong communication skills and ability to work with both technical and non-technical stakeholders
  • Self-starter with a proactive mindset and willingness to learn and take ownership
