We are seeking a highly skilled and motivated Construction Administrative Assistant to join our team in Carrollton, Georgia. As a Construction Administrative Assistant, you will play a crucial role in supporting our construction projects by providing administrative assistance to the project management team and ensuring the smooth operation of office procedures. The ideal candidate will have exceptional organizational skills, strong attention to detail, and the ability to thrive in a fast-paced construction environment.

Responsibilities  

  • Project Documentation: Assist in the preparation, distribution, and organization of project documentation including contracts, proposals, change orders, and submittals. 
  • Correspondence: Manage correspondence with clients, subcontractors, and suppliers via email, phone, and in-person meetings. 
  • Scheduling: Coordinate project schedules, meetings, and appointments for project managers and field staff. 
  • Data Entry: Accurately enter project data into various software systems and maintain project files in an organized manner. 
  • Material Procurement: Assist in the procurement of materials by preparing purchase orders, tracking deliveries, and communicating with suppliers. 
  • Billing and Invoicing: Support the billing process by preparing invoices, tracking payments, and resolving any billing discrepancies. 
  • Safety Compliance: Assist in maintaining safety documentation and ensuring compliance with safety regulations on construction sites. 
  • Office Management: Perform general office duties such as answering phones, filing paperwork, and ordering supplies. 

Qualifications 

  • Excellent verbal and written communication skills with the ability to interact professionally with clients, subcontractors, and team members. 
  • Strong organizational and time management skills with the ability to prioritize tasks effectively. 
  • Exceptional attention to detail and accuracy in all aspects of work. 
  • Ability to work collaboratively as part of a team and contribute to a positive work environment. 
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) 
  • Experience with construction management software like Procore is a plus. 
  • Previous experience in an administrative role, preferably in the construction industry, is highly desirable.
