Job description

Dekker is seeking an Administrative Assistant to join our talented Interior Design Studio. The Administrative Assistant serves as the first point of contact for vendors and product representatives while managing the materials library and providing administrative and project support for Studio leadership and project teams.. This role is responsible for creating a welcoming and professional office experience, assisting designers with project organization, product representative visits, continuing education events, materials management, and resource and financial management support. This role will also include occasional support for front desk operations. The ideal candidate is highly organized, detail-oriented, customer-focused, and willing and able to manage multiple priorities in a collaborative design environment.


Responsibilities

  • Performs administrative and clerical support tasks
  • Organizes and schedules product rep visits and continuing education events
  • Retrieves information as requested from records, email, reports, and other related documents; prepares written summaries of data when needed
  • Assists with front desk operations as needed
  • Responds to and resolves administrative inquiries and questions
  • Coordinates and schedules travel, meetings, and appointments for managers or supervisors
  • Answers and transfers phone calls in support of front desk staff when needed, screening when necessary
  • Welcomes and directs visitors and clients in support of front desk staff when needed
  • Maintains office and Interior Design Materials Library supplies and coordinates materials samples ordering and returns
  • Connects directly with Studio leadership and project teams to provide support where able
  • Identifies and communicates out progress, accomplishments, challenges, and support needed to complete responsibilities

Requirements

  • Excellent verbal and written communication skills

  • Proficient in Microsoft Office Suite and related software
  • Excellent organizational skills and attention to detail
  • Basic understanding of clerical procedures and systems such as recordkeeping and filing
  • Willingness to learn new software, processes, and skills, and offer suggestions for workflow improvements over time
  • High School Diploma or equivalent plus two years' previous relevant office administrative experience desired
