Job Summary
The File Clerk is responsible for providing administrative and clerical support for a high-volume document management and records retention initiative. This role focuses on organizing, inventorying, scanning, tracking, storing, and retrieving physical and electronic records while ensuring compliance with record retention requirements. The ideal candidate is highly organized, detail-oriented, and capable of managing large volumes of documents accurately while supporting multiple stakeholders and meeting project deadlines.
Job Responsibilities

  • Perform inventory and cataloging of physical records, files, and storage boxes.
  • Review, organize, prepare, and process documents for scanning and storage.
  • Operate scanning equipment to digitize records and maintain electronic document repositories.
  • Upload and maintain scanned files within designated document management systems.
  • Prepare documentation and forms required for file storage, retrieval, and vendor coordination.
  • Assist with boxing, labeling, tracking, and organizing files for offsite storage.
  • Maintain accurate logs of document inventory, scanned records, and storage locations.
  • Ensure records are properly classified, labeled, and maintained according to record retention policies.
  • Support audit readiness by maintaining accurate and accessible records.
  • Coordinate with internal and external stakeholders regarding document management activities and project requirements.
  • Review and interpret basic information from maps, drawings, and operational documents.
  • Provide general administrative and clerical support.
  • Maintain and update tracking spreadsheets, databases, and document logs.
