Job description

The ideal candidate for this role is a detail-oriented, organized professional responsible for supporting the operational, administrative, and compliance related functions of the firm. This individual helps ensure efficient day to day operations by coordinating meeting preparation, reporting, licensing, advisor support, and administrative processes.


RESPONSIBILITIES

·        Prepare materials, reports, and documentation for client and team meetings. 

·        Manage meeting preparation, including agenda support, materials assembly, and follow up items. 

·        Run and distribute operational and management reports, including CCVs and other reports as needed. 

·        Support calendar management and scheduling for advisors and team members as assigned. 

·        Coordinate licensing, registration, designation, and continuing education tracking activities. 

·        Maintain compliant records, files, and documentation in accordance with firm and regulatory requirements. 

·        Provide operational and administrative support to advisors and team members; assist with onboarding and administrative HR support.

·        Support office administration activities and vendor coordination as needed. 

·        Respond promptly to internal requests and ensure timely completion of assigned tasks. 

·        Support Client Experience Associate and Office Manager as needed.

·        Complete other duties and special projects as assigned. 


QUALIFICATIONSRequired

·        Ability to manage time effectively and prioritize multiple responsibilities 

·        Strong organizational skills and attention to detail 

·        Ability to maintain confidentiality and handle sensitive information appropriately 

·        Strong written and verbal communication skills 

·        Proficient in CRM and Microsoft Outlook, Word, Excel, and PowerPoint 


Preferred

·        Bachelor’s degree in Business, Finance, Human Resources, or related field beneficial 

·        Financial services experience beneficial 

·        PA Life, Accident & Health Insurance License beneficial 

·        FINRA Registration SIE, Series 6 or 7, and 63 Licensing beneficial
