Job description

Title: Administrative Coordinator

Position Summary:
The Administrative Coordinator is the welcoming face of Global Power Components – the first point of contact for employees, visitors, and candidates as they enter our site. This role owns day-to-day front-desk operations including greeting guests, managing phone inquiries, coordinating mail and access, while also supporting the HR Coordinator and broader HR team with administrative work. Reporting to the HR Manager, the Administrative Coordinator sets the tone for the professional, welcoming environment we want everyone experiencing GPC to feel.
Key Responsibilities:
Front Desk & Visitor Experience
  • Greet employees, visitors, and candidates as they arrive, ensuring a professional and welcoming first impression
  • Maintain visitor logs, ensuring accurate sign-in/sign-out records for security and compliance purposes
  • Maintain the reception area's presentation and general upkeep throughout the day
Phone & Inquiry Management
  • Manage front-desk phone lines, answering and routing calls promptly and professionally
  • Field general inquiries from employees, visitors, and candidates, serving as a reliable point of contact for day-to-day questions about the site and routing complex or HR-specific questions to the appropriate team member
Access & Logistics
  • Support badge and building access requests for employees and visitors
  • Coordinate incoming and outgoing mail and deliveries, ensuring items reach the right recipients promptly
Administrative & HR Support
  • Support the HR Coordinator with basic administrative tasks as needed
  • Assist with meeting and event setup, including room preparation and materials, for HR and site-level events
  • Assist with filing, data entry, and document preparation as needed to support HR operations

Requirements:
  • Prior experience in a front-desk, receptionist, or administrative support role
  • Professional, friendly demeanor with strong customer service instincts
  • Comfortable managing multiple phone lines and in-person inquiries simultaneously
  • Strong organizational skills and attention to detail, particularly with visitor logs and access requests
  • Ability to handle sensitive or confidential situations with discretion
  • Comfortable working onsite full-time in a manufacturing environment
  • Bilingual (Spanish) a plus
  • Proficiency with Microsoft Office (Outlook, Word, Excel)
  • High school diploma required; some college preferred
