Job description

Position Summary

The OHS Specialist is responsible for coordinating and supporting Occupational Health services across one primary service workflow step and one designated backup service workflow step. This role emphasizes building foundational subject matter knowledge, processing files with accuracy and efficiency, maintaining high quality standards, and ensuring timely completion of reports. This role requires close attention to turnaround times and the ability to appropriately escalate complex or cross-functional issues as needed. The OHS Specialist Ireports to the Occupational Health Services Manager.

A key component of this role includes active participation on the DTOH call line, managing a high volume of inbound and outbound calls with candidates, clinics, and clients while delivering professional, responsive service.

Duties & Responsibilities

  • Communicate with clinics, candidates, and clients via the DTOH call line, handling both inbound and outbound calls throughout the day.
  • Schedule and coordinate tests using InCheck technology and available resources.
  • Independently manage workload in assigned service workflow step.
  • Track and ensure timely follow-up on all assigned requests.
  • Log clear, detailed, and audit-ready notes documenting actions taken.
  • Apply client-specific guidelines accurately within assignedservice workflow step.
  • Respond to client and vendor inquiries to ensure quality and timely completion of reports.
  • Prepare routine reports and communicate with clients upon successful completion, as needed.
  • Follow Standard Operating Procedures and tutorials.
  • Support maintenance of department Standard Operating Procedures (SOPs) and training documentation.
  • Perform other related duties as required to support business operations and organizational needs.

Knowledge, Skills, and Abilities

  • Minimum typing speed of 45+ wpm.
  • Demonstrate a professional and pleasant demeanor with clear, effective written and verbal communication skills.
  • Confidently manage a high volume of continuous phone interactions across a variety of settings.
  • Strong attention to detail with the ability to perform accurate data entry, complete routine administrative tasks, stay organized and manage multiple tasks with guidance as needed.
  • Comfortably operating a computer, keyboard, and phone for extended periods.
  • Proficiency in Microsoft Office (including Outlook).
  • Ability to protect applicant data and maintain confidentiality.
  • Solid working knowledge of DTOH processes within two service workflow steps.
  • Understanding of client-specific guidelines in assigned service lines.
  • Willingness to work overtime as required.

Supervisory Responsibility

  • This position has no direct report management responsibilities.

Qualifications

  • High school diploma or equivalent required, along with 1-2 years of experience in a customer service-focused environment, such as a professional services firm, employment screening organization, or call center.

  • Strong interpersonal and communication skills.
  • Self-directed, highly organized, and capable of managing multiple priorities with minimal supervision.
