Job description


We are seeking a PMO Lead to support the delivery of a large-scale quality-enhancement and remediation program focused on design controls, risk management, verification & validation, and audit-ready Design History Files (DHFs) across a portfolio of medical device products.

The program owner maintains the Integrated Master Schedule (IMS); the PMO Lead owns the planning, tracking, governance reporting, and PMO tooling for assigned outcome-based work packages, ensuring full alignment with the overarching program schedule. This is a hands-on role combining project controls, reporting rigor, and Smartsheet build/administration within a regulated (FDA / QMS) environment.


Location: Bothell (Washington)

Work Mode: Hybrid (on-site 2 days/week)


Key Responsibilities

  • Develop and maintain detailed execution plans for assigned work packages — milestones, resources, dependencies, and completion status — aligned with the program's Integrated Master Schedule.
  • Own and maintain the RAID framework (Risks, Actions, Issues, Dependencies), including overdue-item tracking and escalation.
  • Build, configure, and administer the Smartsheet PMO environment: standardized, scalable, and reusable templates, dashboards, reports, and workflows (workstream-level and executive views).
  • Produce clear, current visibility on planned vs. actual, milestone status, deliverable acceptance, and forecast completion.
  • Support the governance cadence: weekly Project Status Reviews, bi-weekly Steering Committee, and monthly/bi-monthly Leadership Reviews (materials, tracking, follow-ups, decision logs).
  • Proactively surface and communicate any schedule risk or dependency that may impact the program's master schedule — without waiting for scheduled governance meetings.
  • Track and report productivity KPIs (work-package throughput, review-cycle efficiency, documentation first-pass acceptance, traceability completion, schedule performance).
  • Prepare milestone acceptance and closure/reporting packages, and design PMO assets for reuse and knowledge transfer.


Required Qualifications

  • 7+ years in a PMO, project controls, or program coordination role on large, multi-workstream programs.
  • Strong Smartsheet expertise — dashboards, reports, automation/workflows, and template/environment build (essential, not just usage).
  • Proven RAID management, milestone/dependency tracking, and executive-level reporting.
  • Experience in a regulated environment (medical devices, pharma, or comparable) — familiarity with QMS, design controls, and audit readiness.
  • Excellent written and verbal English
  • Strong stakeholder management and the discipline to escalate early.

Preferred / Nice-to-Have

  • Working knowledge of FDA 21 CFR 820 / ISO 13485 and design-control documentation.
  • Exposure to Codebeamer (ALM/traceability) and/or Windchill (PLM).
  • PMP, PRINCE2, or equivalent certification.
  • Experience standing up reusable PMO frameworks intended for client handover.
