Bookkeeper

Tax & Accounting Firm — Bookkeeping Team

Key Skills and Knowledge

•       Proficient in QuickBooks (Online and Desktop) and UltraTax; comfortable moving client data cleanly from bookkeeping software into tax workpapers.

•       Excellent written and verbal communication skills, including comfort corresponding directly with clients on bookkeeping, payroll, and tax-related questions.

•       Ability to manage a multi-client workload with precision and attention to detail, since work spans many clients' books at once rather than a single company's.

•       Exceptional customer service and interpersonal skills when working with small business owners, LLCs, and individual clients.

•       Strong project management skills, including tracking monthly/quarterly close deadlines across multiple clients and coordinating with the tax preparation team.

•       Excellent time management with flexibility to meet varying deadlines, particularly around monthly close, quarterly payroll/sales tax filings, and tax season crunch periods.

•       Natural interest or curiosity about financial and accounting procedures, and how bookkeeping decisions ultimately flow into tax return preparation.

•       Basic familiarity with how bookkeeping entries affect tax treatment (e.g., distinguishing business vs. personal transactions, capital vs. expense items) is a plus.

Job Description

•       Maintain and correct clients' books of account across multiple entities, primarily in QuickBooks.

•       Make journal entries, including standard monthly adjusting entries and corrections identified during review.

•       Verify and ensure all bank and credit card transactions are accurately recorded and categorized.

•       Perform monthly bank and credit card reconciliations for assigned clients.

•       Generate reports for bank reconciliation, trial balance, and other financial analyses.

•       Prepare and package financial statements (cover sheet, balance sheet, and profit & loss) for client delivery.

•       Prepare payroll reports and handle related tax deductions and withholdings.

•       Ensure compliance with federal, state, and local tax regulations in payroll processing.

•       Calculate and remit sales tax for applicable clients.

•       Review the general ledger periodically to flag miscategorized transactions, undocumented items, or related-party activity for CPA review.

•       Prepare and clean up trial balances so they are tax-ready for the preparation team, including basic workpaper support (e.g., fixed asset rollforwards, loan schedules).

•       Assist tax preparers in gathering and organizing bookkeeping records needed for individual, business, and other tax return filings.

•       Communicate proactively with clients to resolve outstanding questions, missing documentation, or discrepancies in their books.

•       Support special bookkeeping projects as needed, such as multi-year catch-up work or reconciling discrepancies between client records and third-party ledgers.
