Position Summary:
The Cash Validation Specialist is a key member of the billing team responsible for maintaining the financial integrity of all accounts by managing the end-to-end overpayment and refund process. This detail-oriented role involves validating account credits, ensuring payment accuracy, and processing timely refunds for all payor types. The specialist will ensure all transactions are compliant with internal policies and external regulations. Success in this position requires a strong understanding of ambulance billing principles, Coordination of Benefits, and the ability to communicate effectively across multiple departments to resolve complex financial inquiries.
Essential Functions:
The Cash Validation Specialist must be able to adequately perform essential duties in an organized and efficient manner for all phases of the credit balance and refund process. These duties may include, but are not limited to the following:
Refund Processing and Management:
β€’ Manage the complete refund lifecycle by verifying, preparing, approving, and submitting refund check requests.
β€’ Execute credit card refunds accurately through various online payment portals.
β€’ Handle all follow-up activities for issued checks, including processing returned mail, managing void requests, and reissuing checks as necessary.
β€’ Prepare and mail all refund checks to the appropriate payors.
β€’ Record all issued refund checks by posting the transaction to the appropriate account.
Account Validation and Analysis:
β€’ Perform detailed validation of account charges and credits to confirm the accuracy of overpayments and refund amounts.
β€’ Gather, organize, and analyze all necessary backup documentation to support payment and refund transactions.
β€’ Apply a comprehensive understanding of Coordination of Benefits (COB) and payor liability rules across various case types to ensure refund accuracy.
Compliance and Communication:
β€’ Ensure strict adherence to the company's internal overpayment policy and stay compliant with all required timelines for refund issuance.
β€’ Communicate effectively with team members and collaborate with other departments to provide information and resolve complex account issues.
β€’ Comply with all documented SOPs, compliance guidelines, and HIPAA regulations.
