Job description

Overview

Reporting to the Senior Director of Utilities and Campus Resiliency, and working closely with the University’s Facilities Operations group, the Facilities Operations Center Manager leads a team of managerial and hourly staff providing 24/7/365 monitoring and support for the University’s Facilities Operations. Key accountabilities are monitoring and reporting of building automation alarms, including emergency alerts; work order intake/triage; dispatching of trade staff; facilitating shutdowns; and providing technical expertise with respect to building automation and maintenance management systems. The Manager is responsible for building and maintaining working relationships with other operating units within and beyond Facilities as well as the broader campus community. As a part of the Utilities and Campus Resiliency leadership, the Manager will have an active role in planning for and supporting the Campus during special events (student move-in, commencement, etc.) and emergency conditions (snowstorms, hurricanes, etc.).

Principal Responsibilities
  1. Directs the Facilities Operations Center, providing interface with both internal and external departments, emergency response services, dispatch services, work order input, preventative maintenance, work order maintenance and administrative support 24/7 for the Central, YSM and West Campuses, satellite facilities and other department initiatives. Manages technical and administrative functions and fiscal oversight within the Support Services functions.
  2. Establishes and implements priorities, standards and policies for Facilities Operations to ensure appropriate and timely delivery of communication and service, which is essential for providing support services to our partners and customers.
  3. Develops and communicates work priorities, administers training programs and staffing requirements. Investigates and initiates disciplinary action when necessary within the guidelines of the bargaining unit contract. Reviews and evaluates employee performance as it relates to quality of work, attendance, attitude and conduct.
  4. Manages the update of records in AssetWorks (work request management system) used to monitor and control all work performed by Facilities Operations. Manages technical and administrative functions and fiscal oversight within the Facilities Operations Center.
  5. Establishes priorities, standards and policies with input from all managers within Facilities Operations. Oversees the record keeping of confidential customer information.
  6. Directs and oversees the 24/7 operations of the Facilities Operations Center campus wide which includes building automation systems monitoring and response. Manages initiatives associated with campus-level system performance and building automation systems, which may include system scheduling, programming, control system enhancements and software updates, metering, load shed activities, alarm management, seasonal energy management issues and overall control system management.
  7. Participates in various University committees, which have University-wide impact in such areas as: Yale Emergency Operations Team; YSM Commencement Committee, Management Action Committee. Ensure positive public relations through effective problem resolution with Deans, Department Chairs, Department Administrators, and building occupants.
  8. Oversees the off shift Facilities Operations managers and staff.
  9. Maintains and updates departmental information, emergency response, protocols, and customer contact lists.
Required Education and Experience
  1. Bachelor’s degree in relevant field and eight years of progressive managerial and supervisory experience coupled with a background in the field of facilities management or an equivalent combination of education and experience.
  2. Experience in a call center, control room, or work dispatching environment.
  3. Experience and/or a working knowledge of building systems, HVAC, plumbing and electrical.
