Job Summary

The Conference Center Senior Planner is responsible for the full-service planning and execution of high-profile and complex meetings in the Conference Center. This role interacts daily with VIP clients and the executive suite and is highly client-focused, requiring refined communication skills, a white-glove service approach, and exceptional organizational and problem-solving abilities.

Key Job Duties: 

  • Deliver a high-touch, luxury hospitality client experience 
  • Serve as the single point of contact for all planning and execution of high-profile meetings and conferences, including catering, audiovisual, setup, facilities, and materials 
  • Send meeting confirmations through the reservations system to verify all event details 
  • Identify and resolve room booking conflicts in collaboration with the reservations team 
  • Proactively schedule planning meetings, walkthroughs, and follow-ups with meeting hosts 
  • Coordinate audiovisual, food and beverage, room setups, signage, materials, and special requests 
  • Obtain appropriate approvals and billing information for all event-related expenses 
  • Manage event budgets accurately and efficiently 
  • Communicate effectively with internal stakeholders throughout the planning and execution phases 
  • Assist with bookings and event documentation within the reservations system 
  • Create and distribute work orders to clients and vendor partners 
  • Provide utilization and Conference Center reports as requested 
  • Support Planners and Reservations Specialists with simple meeting requests as needed 
  • Produce detailed and accurate floor plans, event resumes, and BEOs 
  • Lead daily and weekly planning meetings to review upcoming events and logistics 
  • Lead pre-conference meetings to ensure seamless execution 
  • Lead post-conference debriefs to gather feedback and drive continuous improvement 
  • Troubleshoot guest and team member issues, including meeting conflicts 
  • Conduct room checks prior to meetings to ensure setups align with reservations 
  • Maintain strong client and vendor relationships through professional communication 
  • Demonstrate comprehensive knowledge of Client Center standard operating procedures 
  • Respond positively to changing priorities 
  • Maintain flexible availability including evenings and weekends

Preferred Qualifications: 

  • Minimum of 5 years of complex event or meeting planning experience, preferably in a financial services, executive, corporate, or luxury environment 
  • Working knowledge of audiovisual and catering services 
  • Strong knowledge of local event resources 
  • Degree in Hospitality Management preferred 
  • Second-language proficiency is a plus
