Job Overview

Express Employment Professionals is seeking an Office Manager for a local Dubuque nonprofit organization.

The Office Manager will oversee daily administrative operations, financial support, payroll processing, project coordination, employee onboarding, volunteer engagement, and community outreach. This position is ideal for someone who is organized, detail-oriented, comfortable managing multiple priorities, and enjoys working with people.

Key Responsibilities

  • Manage daily office operations, including phone calls, emails, correspondence, records, filing, and office supplies.

  • Process invoices, receipts, deposits, account reconciliations, billing, and other basic bookkeeping functions.

  • Prepare and process bi-weekly payroll, track PTO, and manage employee and student stipend payments.

  • Coordinate facility maintenance requests, project lists, meetings, and administrative paperwork.

  • Assist with employee onboarding, benefits paperwork, and maintaining organizational policies and records.

  • Coordinate volunteer recruitment, scheduling, orientation, engagement, and recognition activities.

  • Maintain social media accounts and assist with content, photos, and promotional materials.

  • Maintain accurate digital and physical records using Microsoft Office, SharePoint, and other database systems.

Qualifications

  • Previous experience in office management, administrative support, bookkeeping, payroll, or a similar role.

  • Strong Microsoft Office skills, particularly Excel.

  • Excellent organization and attention to detail.

  • Strong written, verbal, and interpersonal communication skills.

  • Ability to manage multiple priorities and work independently.

  • Comfortable handling financial information, invoices, reconciliations, and payroll.

  • Ability to learn new software and database systems quickly.
