ASC Patient Access Representative - Billing & Surgical Scheduling

For well over a century, the Wills Eye name has been synonymous with excellence in ophthalmic care. The Wills Eye Surgical Network extends this legacy through a group of multi-specialty, same-day surgery centers located throughout the Philadelphia metropolitan region. Our state-of-the-art facilities, advanced technology, and specially trained staff are dedicated exclusively to same-day surgery, ensuring a safe, efficient, and patient-centered experience.
The Wills Eye Surgery Center in Bucks County was the Wills Eye Surgical Network's first multi-specialty ambulatory surgery facility in Pennsylvania. Conveniently located in Warminster, the Center opened its doors in January 1996. Today, it has more than 30 active physicians on staff who are experienced in multiple procedures. The Wills Eye Surgery Center in Bucks County is fully licensed by the State of Pennsylvania, AAAHC accredited, and Medicare certified.

The ASC Patient Access Representative - Billing & Surgical Scheduling is responsible for supporting front-end patient access operations while coordinating surgical scheduling and providing medical billing support within the Ambulatory Surgery Center. This position plays a critical role in ensuring a seamless experience for patients, providers, and clinical teams by maintaining accurate registration, scheduling, and billing processes in accordance with organizational and regulatory standards. The position also serves as a resource to patient services staff and assists with more complex operational issues.
Primary Responsibilities
  • Greet and assist patients and visitors in person and by telephone in a professional and courteous manner.
  • Register new patients and update existing patient demographics, including verification of insurance and financial information.
  • Verify insurance eligibility, benefits, referrals, and authorizations for office visits, procedures, and surgical services.
  • Collect co-payments, deductibles, and outstanding patient balances in accordance with established policies.
  • Coordinate and schedule surgical procedures, diagnostic testing, and imaging services in collaboration with surgeons, anesthesia, and ASC staff.
  • Communicate pre-operative instructions, scheduling details, and financial expectations to patients in a clear and timely manner.
  • Manage surgical schedule changes, cancellations, and reschedules while ensuring accuracy and completeness of documentation.
  • Facilitate patient flow by communicating patient arrivals, delays, and updates to clinical and surgical teams.
  • Support medical billing operations by completing accurate and timely charge entry to ensure billing is processed within required timeframes.
  • Generate daily batch transmittal reports and assist with reconciliation as needed.
  • Scan, index, and maintain referrals, authorizations, operative reports, consents, and other documentation within the electronic medical record.
  • Act as a resource to patient services staff, providing guidance on complex issues and participating in problem-solving and process improvement initiatives.
  • Maintain accurate, complete, and confidential medical records in compliance with HIPAA and organizational policies.
  • Demonstrate dependable attendance, punctuality, and professionalism in all interactions.
  • Perform other duties as assigned in support of ASC operations.

  • High School Diploma or equivalent required; some college coursework preferred.
  • Prior experience in a healthcare setting, preferably within an ambulatory surgery center, medical office, or specialty practice.
  • Experience with patient registration, insurance verification, surgical scheduling, and/or medical billing processes.
  • Knowledge of medical terminology and healthcare workflows.
  • Familiarity with health insurance products including HMO, PPO, HSA, Commercial, and Medicare plans.
  • Ability to navigate electronic medical records and online insurance portals.
  • Proficiency with Microsoft Office and standard office technology.
  • Strong organizational skills with the ability to manage multiple priorities and deadlines.
  • Excellent verbal, written, and interpersonal communication skills.
  • Customer-focused approach with the ability to remain calm and professional in high-pressure situations.
  • Strong attention to detail and accuracy, particularly with financial and medical documentation.
