Administrative Coordinator

FOX Television Stations - FOX 5 DC / FOX 5 PLUS

The Opportunity

FOX 5 DC is seeking an organized, energetic, and service-minded Administrative Coordinator to help keep a fast-moving, multiplatform media operation connected and running smoothly. Reporting to the Office Manager, this role supports department heads and station teams across linear television, digital, streaming, and social media.

As a central coordination point for employees, viewers, visitors, community and business partners, vendors, and guests, you'll bring a dependable, proactive, and approachable style; work effectively with varied personalities; and manage shifting priorities with sound judgment, discretion, and a positive, solutions-oriented approach.

What You'll Do

Support station operations. Provide day-to-day administrative support to the Office Manager, department heads, and station teams, including office operations, schedules, travel, expenses, supplies, mail, deliveries, and special projects.

Coordinate meetings and calendars. Manage calendars, conference calls, agendas, meeting materials, rooms, technology, and follow-up items; anticipate conflicts and communicate changes promptly.

Keep communications current. Draft, proofread, format, and distribute station memos, presentations, reports, correspondence, and other communications; maintain the internal Stay Ahead channel so information remains timely, useful, and current.

Manage vendors and workplace needs. Coordinate vendor setup, invoicing, purchasing, and related activity in Coupa and Graphite Connect; work with vendors, contractors, building contacts, and internal teams on workplace and equipment needs.

Deliver outstanding service. Support employees, viewers, visitors, guests, community and business partners, and vendors by coordinating access, hospitality, station tours, schedules, and on-site logistics.

Track and report. Prepare tracking and data-driven reports for station leadership, monitor relevant social media trends and platform activity, organize key information, and provide timely, accurate updates.

Support community and multiplatform initiatives. Partner with multiple departments to coordinate station events, community partnerships, employee activities, and other promotional or community initiatives across linear, digital, streaming, and social platforms.

Protect information, strengthen processes, and stay ready to pivot. Maintain organized records and resources, safeguard confidential information, support administrative needs and provide administrative backup as needed, and help strengthen team processes and communication.

What You Bring

Education and experience. High school diploma or equivalent required. Associate or bachelor's degree in business, communications, administration, or a related field preferred. Two or more years of progressively responsible administrative support, office coordination, or comparable professional experience.

Service and communication. Excellent customer service, written and verbal communication, organizational, interpersonal, and relationship-building skills, with a positive, approachable, and professional demeanor.

Judgment and follow-through. Demonstrated ability to manage multiple priorities and deadlines, work independently with limited supervision, anticipate needs, exercise sound judgment, follow through on details, maintain strict confidentiality, and compile, organize, and communicate tracking information accurately and clearly.

Technology. Proficiency with Microsoft Office applications, including Outlook, Word, Excel, and PowerPoint, and the ability to learn and regularly use station and Company systems such as Workday, WideOrbit, Coupa, Graphite Connect, collaboration tools, virtual meeting technology, and other evolving business platforms.

Multiplatform adaptability. Comfortable learning digital, social, and streaming-related tools and adapting to evolving technology and workflows across linear broadcast, digital, streaming, and social media.

Work Location & Schedule

This position is fully onsite, with an initial schedule of 11:00 a.m. to 8:00 p.m. As a member of the FOX 5 DC Admin team, hours and priorities may shift based on station operations, events, special projects, breaking news, and last-minute needs, including early mornings, late evenings, weekends, and holidays.

Benefits for Union represented employees will be in accordance with the applicable collective bargaining agreement.
