Job Description
The Seattle-based Corporate Legal Department of Expeditors International of Washington, Inc. is seeking a full-time administrative records and e-billing coordinator to provide administrative support to the Legal Department, while supporting the team's organizational goals and department initiatives. The ideal candidate will have progressive administrative experience and skills, with demonstrated attention to detail and organization, with the ability to prioritize and multitask in a fast-paced environment.
Position responsibilities include, but are not limited to:
  • E-billing management assistance (email invoices to international branches, follow-up to ensure payment in a timely manner, assist with reconciliations liaising between vendors, the legal department and accounting)
  • Manage department files and records; plan, organize, and coordinate records maintenance, storage, preservation and disposition activities involved in the management of a wide variety of departmental records; and perform related work.
  • Provide general office and administrative support to team
  • Bindering, indexing, copying, scanning and printing projects, providing post-scanning quality assurance to ensure batches are complete, accurate, and of a high quality
  • Manage department's file digitization
  • Data entry and systems migration support
  • Supplies management
  • Facilities management and common area oversight
  • Technical computer and equipment liaison and troubleshooter

Qualifications
  • 2+ years of progressive office experience
  • Proficient with Microsoft Office suite of products in performing a variety of computer-based tasks.
