Arthrex is a global medical device company and a leader in new product development and medical education in orthopedics. Arthrex is actively seeking an Exhibit Data Coordinator II to join the Exhibit Planning and Operations Team. In this role, you will help support successful exhibits and events by maintaining accurate data, coordinating organizer and society requests, and ensuring event information is complete and available to support planning and reporting. You will manage data integrity within the Arthrex Integrated System (AXIS) and assist with the continued development and adoption of the AXIS Salesforce.com platform. As a key point of contact, you will build collaborative relationships with internal stakeholders-including the Sales Organization, Sales Agencies, Regional Managers, Sales Representatives, Legal, Compliance, and other cross-functional teams-as well as third-party event organizers, associations, and external partners. The ideal candidate is detail-oriented, organized, service-focused, and comfortable managing multiple priorities in a fast-paced environment. Strong communication, analytical, and technical project coordination skills will be essential to success in this role. A high school diploma or equivalent is required. Main Objective: The Exhibit Data Coordinator is responsible for providing support to those directly planning or coordinating, meetings and events internally or externally. Work with Exhibit Data Supervisor and Specialists as well as key internal and external stakeholders to ensure consistent exhibit workflows and implementation of new business processes and integrated systems. Knowledge of corporate goals and objectives to ensure successful department reporting results.

 

Essential Duties and Responsibilities:

  • Assist with coordinating and maintaining financial exhibit budgets working closely with Exhibit Planners, Finance and Data Supervisor.
  • Help to identify and analyze post-show data and expenses, identifying possible budget solutions and operational efficiencies.
  • Work with Exhibit Data Supervisor on preparing reports with detailed historic spending by association and meeting type.
  • Assist with running GEMS reports and fulfilling "non-automated" requests from internal team members and leadership.
  • Assist with post-show reporting and dissemination of conference leads to national and international agencies and territories.
  • Assist Exhibit Data Supervisor with ROI, attendance and statistical data reporting analysis projects for all conferences. including the American Academy of Orthopedic Surgeons Annual Meeting (AAOS).
  • Coordinate with planners to create exhibit data and focus products in AXIS database for lead-taking purposes.
  • Monitor the Salesforce Lead Dashboard to provide detailed reports upon request.
  • Help to coordinate exhibit microsites on MyArthrex and update details for key conferences including AAOS in order to provide important announcements to global employees.
  • Assist the AXIS Team with verifying surgeon contact details and NPI data through the NPPES Registry.
  • Compare conference leads to the Arthrex Denied Party List Screening System through Compliance to ensure all leads have passed screening.

Knowledge

  • Complete knowledge of industry practices, customer service, and standards. Complete knowledge of Exhibit Coordinator processes and best practices. Regularly contributes to the development of new Exhibit Data policies and procedures.

Skills

  • Ability to work in a fast-paced, ever changing environment.
  • High level of attention to detail.
  • Cvent, SalesForce, Meetings Data and Analysis systems preferred
  • Customer Service background
  • Coachable, Team player, self-motivated
  • Intermediate level of Microsoft Office, Excel, Word, PowerPoint and Outlook email experience.
  • Ability to work independently and effectively with internal and external customer.
  • Ability to verbally communicate ideas and issues effectively to other team members and management.
  • Experience in Project Management with the ability to manage multiple projects/assignments concurrently.

Education/ Experience

  • High school diploma or equivalent required.
  • Bachelor's degree in Hospitality, Finance, Business Management or related field preferred; preferably in a medical device environment.
  • 2 year's experience working in a professional environment required, prior exhibit/event experiences a plus
