Veterans Guardian is looking for an organized, proactive, and people-focused Office Operations Coordinator to support the daily operations of our Scottsdale office.

This role combines office administration, employee support, recruiting coordination, and Human Resources administration to create an exceptional workplace for our team. You'll be the go-to resource for keeping the office organized, supporting employees, welcoming new hires, and ensuring day-to-day operations run smoothly.

What You'll Do

Office Operations

  • Oversee the day-to-day operations of the Scottsdale office.
  • Maintain office supplies, equipment, and inventory.
  • Coordinate building maintenance requests and vendor relationships.
  • Manage incoming mail, deliveries, and office logistics.
  • Ensure the office remains clean, organized, and professional.
  • Assist with company meetings, office events, and employee engagement activities.
  • Support leadership with administrative projects and operational initiatives.

Human Resources Support

  • Coordinate interviews and candidate scheduling.
  • Assist with recruiting and applicant communication.
  • Prepare new hire paperwork and onboarding materials.
  • Welcome new employees and coordinate first-day onboarding.
  • Maintain confidential employee files and HR documentation.
  • Support employee recognition programs, anniversaries, and company events.
  • Serve as the local point of contact for employee questions while partnering with the HQ HR team.

  • Experience with HRIS, Salesforce, or applicant tracking systems is a plus.
  • Ability to maintain confidentiality and exercise sound judgment.
