Position Overview
We are seeking a polished, highly organized, and proactive Executive Assistant to provide high-level administrative support to the Vice President of Human Resources and HR leadership team in a fast-paced healthcare environment. This role requires exceptional organizational skills, professionalism, discretion, and the ability to manage multiple priorities while maintaining confidentiality.
The ideal candidate has extensive executive support experience, strong communication skills, and advanced Microsoft Office proficiency. Experience supporting Human Resources leadership and working within healthcare organizations is highly preferred.
Key Responsibilities
  • Provide executive-level administrative support to the Vice President of Human Resources and HR leadership.
  • Manage complex executive calendars, scheduling meetings, appointments, and conference calls.
  • Coordinate internal and external meetings, prepare agendas, and distribute meeting materials.
  • Prepare presentations, reports, spreadsheets, and other business documents using Microsoft Office Suite.
  • Handle confidential correspondence and sensitive HR information with the highest level of discretion.
  • Coordinate travel arrangements, expense reports, and executive itineraries.
  • Organize employee events, leadership meetings, and departmental activities.
  • Maintain accurate files, records, and documentation.
  • Assist with HR projects, onboarding activities, compliance initiatives, and special assignments.
  • Serve as a professional point of contact for executives, employees, and external partners.
  • Prioritize competing deadlines while ensuring exceptional attention to detail.
Required Qualifications
  • High School Diploma or GED required.
  • Minimum of 3 years of experience supporting senior executives or executive leadership.
  • Previous experience as an Executive Assistant or Administrative Assistant supporting high-level leadership.
  • Advanced proficiency in: MS Office
  • Professional demeanor with executive-level presence.
  • Ability to handle confidential and sensitive information with discretion.
Preferred Qualifications
  • 5+ years of executive support experience.
  • Experience supporting Human Resources executives.
  • Healthcare industry experience.
  • Knowledge of HR processes, compliance, onboarding, and employee relations.
  • Experience coordinating executive travel, meetings, and confidential communications.
  • Bilingual in English and Spanish is highly preferred.
