Job description

Levo Resources is partnering with a boutique estate planning law firm in South Florida to fill an Executive Assistant role supporting the firm's CEO. This is a true 50/50 business and personal support seat, ideal for someone who wants full ownership over an executive's world rather than a narrow admin lane.


About the role:

You'll work directly for the firm's CEO, managing her inbox, calendar, and daily workflow while also handling personal logistics for her household. The CEO moves fast, so part of the job is sometimes helping her slow down and stay focused on the next right task instead of getting pulled in ten directions. You'll coordinate closely with the COO, business development team, and paralegals to make sure things land where they need to.


What you'll do:

  • Manage the CEO's inbox, routing emails to BD, paralegals, or the COO based on established rules
  • Monitor a high volume of daily inbound leads to confirm they're reaching the right person
  • Own the CEO's calendar and help prioritize and sequence her day
  • Coordinate personal appointments and services, including scheduling for two young children
  • Manage household vendors and services (cleaning, personal care appointments, etc.)
  • Support logistics for the firm's estate planning webinars and training events


What you bring:

  • Solid experience managing a calendar, inbox, and daily operations for a busy leader (EA, project manager, or similar background all work; no industry experience required)
  • Comfort acting as a gatekeeper who can redirect and prioritize, not just execute a task list
  • A confident, direct communication style. This role needs someone who can hold their ground with a fast-moving executive
  • Fluency in Google Workspace and Gmail
  • Comfortable using or learning to use AI tools as part of daily workflow
  • Spanish fluency strongly preferred but not required


Benefits:

  • $65,000 to $70,000 base, with room to grow for the right person
  • Hybrid schedule: two days work from home, 9am to 5:30pm
