We're seeking a highly organized, proactive, and detail-oriented Executive Assistant to support senior leaders within our Great West Finance function. This role is central to enabling a high-performing team-ensuring seamless operations, strengthening organization across complex deliverables, and supporting senior leadership in managing priorities, deadlines, and key deliverables.

What you'll do

 

Executive & Team Enablement

  • Provide day-to-day support to senior leaders, including calendar management, meeting coordination, and prioritization of competing demands
  • Act as a key point of coordination for internal stakeholders, ensuring a seamless and professional experience
  • Support the planning and logistics of workshops and meetings, including distribution of senior leadership materials

Operational Excellence

  • Coordinate travel arrangements, expense management, including general office operations
  • Support the team in managing workflow across multiple deadlines and deliverables

Project Coordination & Documentation

  • Prepare, format, and edit presentations in PowerPoint, maintain track logs and dashboard reports, as well as other materials for leadership audiences
  • Ensure materials are polished, accurate, and aligned with executive standards

Technology & Coordination

  • Leverage Microsoft 365 tools (Outlook, PowerPoint, Excel, SharePoint) to streamline workflows and enhance team productivity
  • Use AI tools (e.g., Microsoft Copilot, intelligent agents, workflow automation platforms) to summarize information, prepare meeting materials, coordinate actions, and manage knowledge repositories
  • Provide light troubleshooting and coordination with internal tech support where required

 

What you bring

  • 5+ years supporting senior leaders, preferably in finance or accounting
  • Exceptional organizational skills and attention to detail
  • Ability to manage multiple priorities in a fast-paced environment
  • Advanced Microsoft Office skills (Outlook, PowerPoint, Excel, Word)
  • Effective communication skills and confidence working with senior stakeholders
  • High level of discretion, professionalism, and judgment
  • Proactive, solutions-focused approach with the ability to anticipate needs
  • Strong relationship-building and collaboration skills
  • Ability to bring structure and clarity to complex, high-volume workloads
  • Curiosity and willingness to experiment with emerging AI technologies and agentic workflows to improve team effectiveness
  • Experience supporting large-scale transformation programmes, PMOs, or strategic initiatives is an asset

The base salary for this position is between $59,800 - $99,700 annually. This represents base salary only and does not represent other variable compensation components of our total compensation ( i.e. annual bonus, commission etc).
