Senior Executive Administrative Assistant

Location: Grand Forks, ND
Job Type: Full-Time | Hourly | Nonexempt

Salary: $40,000 - $50,000 DOE

Are you the person everyone counts on to keep things organized?

We are seeking an experienced Senior Executive Administrative Assistant to provide high-level administrative and operational support to a General Manager and senior leadership team.

This is not a basic receptionist or entry-level administrative position. The right person will be a trusted partner to leadership—someone who can manage confidential information, coordinate schedules and travel, prepare important documents, solve problems independently, and keep multiple priorities moving at once.

This position is ideal for an experienced Executive Assistant, Senior Administrative Assistant, Executive Coordinator, Office Manager, or highly experienced Administrative Professional who enjoys variety and wants to have a direct impact on the business.

What You'll Do

Executive & Administrative Support

  • Provide comprehensive administrative and operational support to the General Manager and senior leadership.
  • Manage calendars, meetings, travel arrangements, and logistics.
  • Prepare meeting agendas, briefing materials, reports, correspondence, and meeting minutes.
  • Research, organize, and compile information to support business decisions and strategic initiatives.
  • Handle confidential and sensitive information with professionalism and discretion.
  • Track follow-up items and help ensure projects and priorities stay on schedule.
  • Support other members of senior leadership as directed.

Office & Process Management

  • Maintain accurate physical and electronic filing systems.
  • Organize, e-file, and maintain important business documents.
  • Identify opportunities to improve administrative processes and workflows.
  • Develop and maintain standard operating procedures.
  • Troubleshoot issues independently and determine appropriate solutions.
  • Manage competing priorities and short deadlines while maintaining a high level of accuracy.
  • Coordinate with employees, vendors, customers, and other stakeholders as needed.

Technology & IT Support

  • Provide basic technology support for office and warehouse locations.
  • Assist with Microsoft 365 administration, user setup, and access management.
  • Provide basic support for printers and other office technology.
  • Monitor backups and assist with routine technology-related issues.

Accounting Support

  • Serve as backup support to the Controller for selected accounting functions.
  • Assist with Accounts Payable (AP), Accounts Receivable (AR), and related transaction processing as needed.
  • Cross-training will be provided.

What We're Looking For

The ideal candidate is organized, resourceful, professional, detail-oriented, and comfortable taking ownership without needing constant direction.

Required/Preferred Qualifications

  • Several years of experience in executive administration, senior administrative support, office management, or a similar role.
  • Experience supporting executives, senior leadership, or high-level management preferred.
  • Strong proficiency with Microsoft 365, including:
    • Outlook
    • Word
    • Excel
    • Teams
    • SharePoint
  • Excellent written and verbal communication skills.
  • Strong proofreading, editing, and document preparation skills.
  • Ability to communicate clearly, concisely, and professionally.
  • Strong organizational and time-management skills.
  • Ability to prioritize competing demands and meet short deadlines.
  • Demonstrated problem-solving skills and good judgment.
  • Ability to handle confidential information with discretion.
  • Experience coordinating meetings, travel, schedules, and logistics.
  • Comfortable both taking direction and working independently.
  • Associate degree preferred; bachelor's degree a plus. Equivalent professional experience will be considered.
