Job description

Objectives/Purpose:
  • Support the Global Head of EHSS by managing their calendar and activities to maximize efficiency and value, and assist with administrative, finance, and operational functions.
Accountabilities:
  • Provide comprehensive administrative support and coordination to the Global Head of EHSS.
  • Schedule meetings, calls, and interactions based on leader/function priorities.
  • Organize large events (Team and Leadership).
  • Manage specialty documents and correspondence (agendas, reports, emails, presentations).
  • Coordinate communications with internal/external customers; direct people to appropriate resources.
  • Build cross-department networks to answer questions and accomplish responsibilities.
  • Handle responsibilities with confidentiality.
  • Arrange travel and complete expense reports on time.
  • Support Purchase Order (PO) process: prepare vendor documentation, submit payment requests into the accounting system, and respond to accounts payable/payee inquiries.
  • Use Microsoft Outlook, Word, Excel, and PowerPoint to track, document, and report data.
  • Research solutions and respond to email/phone inquiries with minimal input.
  • Initiate and participate in improvement processes.
  • Own and execute onboarding for new team joiners and internal transfers.
Education/Experience & Qualifications:
  • High school diploma/GED required; Associate or Bachelor’s preferred.
  • Minimum 8 years relevant work experience (or equivalent training/experience); some industry experience preferred.
  • Advanced Microsoft Outlook, Word, Excel, PowerPoint; strong PC literacy.
  • Excellent verbal and written communication.
