The Role
We're looking for a high-potential Executive Assistant to support three of our key executives: Head of Engineering, Head of Product, and Head of People. This in-person role (4x a week) is based in San Francisco.
You take pride in a well-run calendar, a clean inbox, and a flawlessly executed offsite. You see the unglamorous work as the work. You will own the calendars, inbox, travel, and operating cadence of three executives, and you will also own a defined portfolio of operational projects that scale company-wide. The EA craft is the core of this role. The ops portfolio is additive.
You'll report to the Sr. Executive Assistant and work as a direct extension of three of our most important leaders. This is the right role for someone with a few years of EA experience who wants to grow their scope inside a fast-moving company, with a real path to broader admin and operational leadership over time.
Key Responsibilities:
  • Own the calendars of three executives. Manage scheduling, travel, and meeting prep for the Head of Engineering, Head of Product, and Head of People. Resolve conflicts independently. Anticipate two to three weeks out, not two days out.
  • Run the inbox and information flow. Triage inbound, draft responses, and ensure nothing falls through the cracks across all three principals.
  • Drive the operating cadence. Own prep, agendas, and follow-through for leadership team meetings, engineering and product offsites, and key external engagements.
  • Own a defined operational portfolio. Lead all-hands logistics, engineering and product offsite execution, recruiting coordination for technical and people hires, and exec-level new hire onboarding.
  • Handle confidential work with discretion. Particularly on the People side, you will see comp, performance, and HR-sensitive information. We expect total discretion.
  • Partner with the Sr. EA. Operate as part of a tight admin team. Cover for the Sr. EA when needed. Help raise the bar on how Abby Care runs its executive operations end to end.

The Requirements:
  • At least 2 years of experience supporting executives at high-growth startups, top-tier professional services firms, or similarly high-velocity environments. We are not tied to a specific number of years, but rather the quality of your experience and outcomes.
  • Demonstrated ownership of a complex calendar for at least one principal at scale
  • Strong written communication, comfortable drafting on behalf of executives in internal and external contexts
  • Bias toward action. You decide and brief, rather than ask and wait
  • Ability to context-switch without dropping threads. You can move between calendar work, an offsite logistics question, and a confidential HR matter in the same hour
  • Comfort with discretion, particularly around People and HR-sensitive work
  • High potential and high ambition. You want to grow into broader scope over the next 2-3 years, and you see this role as a real career path with the Executive Assistant function
  • Hands-on, high-ownership mindset. Willing to get in the weeds, move fast, and handle the realities of an early-stage startup
  • AI fluency. You experiment with AI tools and use them to make your work meaningfully more efficient
  • Full commitment required. This role is full-time and your top priority, with the expectation of growing alongside the company over the next 2+ years
