Job description

PD 1: Office Management/Staff Officer – Skill Level 3 (NGA-W) 

Duties Include: 

Provide office-level staff and technical support, including but not limited to: 

  • Maintaining office leadership/senior personnel schedules and calendars, and answering office leadership phones 
  • Coordinating events and meetings, to include scheduling facilities, supporting agenda development, assisting event/group coordinators, and supporting the overall event/meeting execution 
  • Creating and maintaining hardcopy and softcopy files in accordance with applicable records management policies and standards 
  • Maintaining office organizational charts, recall rosters, and emergency contact information 
  • Coordinating and maintaining office leadership/senior personnel travel plans, schedules and expense reports using NGA’s official travel and tracker systems (currently Defense Travel System (DTS) and Management and Execution Tracker (MET)) 
  • Participating in scheduled staff and working group meetings 

Provide written and verbal communication support to various audiences, including but not limited to: 

  • Creating, reviewing, or editing incoming and outgoing correspondence (e.g., NGA official documents, policies, memorandums, staff packages, standard operating procedures (SOP), weekly activity reports, white papers, meeting minutes, talking points) for currency, relevance, accuracy, content, grammar, spelling, and quality 
  • Articulating information in an accurate, clear, concise, well-organized, and timely manner, and tailoring this information to the stakeholder’s level of understanding 

Apply logic, critical thinking, analysis, and problem-solving skills, to include: 

  • Researching and analyzing issues rooted in existing laws, policies, and mission responsibilities to identify inconsistencies and anomalies that may play a role in SI’s administration 
  • Contributing to internal office process and/or policy development and clarification to support mission objectives 
  • Analyzing existing office processes to identify gaps, supporting the design of new processes, documenting improvements, and supporting the implementation of improvements to drive efficiency and effectiveness 

Apply knowledge and understanding of complex issues, policies, and organizational objectives to support mission execution 

  • Drafting policies (e.g., directives, instructions, manuals, SOPs, for internal and external stakeholders 
  • Managing security policy architecture and prioritizing tasks to efficiently obtain finalized staff packages for senior leadership and staff review 
  • Supporting NGA’s Forms Management, to include updating policy and agency correspondence 
  • Tracking internal and external taskers/actions to thorough, professional and on-time completion, to include coordinating/determining appropriateness of responses, taking appropriate action to ensure responses are provided by the due date, and coordinating with internal and external action officers 
  • Managing electronic tracking and processing systems at the NGA and SI levels 
  • Supporting special projects to ensure timely delivery of products and services to meet master schedules and program milestones 

Required/Desired Skills and Experience: 

  • Demonstrated experience working with executive-level clients in IC, NGA, DoD or Federal government 
  • Demonstrated experience assessing metrics and data to support decision making processes related to strategic planning 
  • Demonstrated experience utilizing MS Office Suite (MS Word, Excel, PowerPoint, Outlook) 
  • Demonstrated ability to work with and adapt to personnel at all levels, dealing with high visibility situations and working effectively under the pressure of rigid deadlines 
  • Demonstrated experience leveraging interpersonal and customer service skills to resolve or implement innovative solutions without direct supervision 
  • Demonstrated experience managing and scheduling executive-level travel using applicable, corporate tools (e.g., DTS, MET) 
  • Demonstrated experience utilizing Human Capital Management tools (e.g. PeopleSoft), collaboration tools (e.g., SharePoint), and/or tasker management tools (e.g., NGA Central Electronic Routing and Tasking System (NCERTS) 
  • Demonstrated experience presenting oral and written communications to diverse audiences
