Job description

Dewberry is currently seeking a full-time Senior Marketing Coordinator to support our Federal Marketing team. The position requires a minimum of six years of AEC marketing experience with specific emphasis on federal proposals preferred. The Marketing Coordinator works on developing proposals and statements of qualifications, preparing teams for shortlist interviews, and managing quality control of the work of technical, proposal, and graphics staff assigned to the pursuit from Dewberry and partner firms to deliver compliant and compelling marketing materials.

This is a fully remote position. Preferred candidate would be located in Richmond, VA, although other locations such as Virgina Beach, VA, or Raleigh, NC area will be considered.

This position works alongside a robust team of marketers, graphic designers, communication professionals, and Federal Market client managers and project managers at large, all of whom collaborate for success, promote strengths, and support each other’s growth within Dewberry. The ideal candidate understands deadline-driven work, has a high level of attention to detail, and is a self-starter who can work both independently and within a team environment. The job entails working on multiple concurrent assignments, with overlapping schedules.

  • Support a variety of proposal teams comprised of Marketing Managers, Pursuit/Proposal Managers, Client Managers, Project Managers, and Subject Matter Experts to help develop proposal responses, shortlist interviews, and other professional presentations.
  • Manage major aspects of multiple proposal efforts simultaneously within target market segments and service offerings.
  • Develop a deep understanding of individual pursuits and nuances of specific clients to provide both support to the pursuit team and also to proactively bring ideas and suggestions for improvement of content and processes.
  • Coordinate with pursuit teams from multiple office locations and/or service lines. Familiarity with integrated, multiple service line (Civil, Structural, Architecture, MEP, Technology, etc.) proposals preferred.
  • Responsible for work on a variety of proposal types (SF330, design-build, technical/narrative, pricing/business, RFQs/RFIs, and Sources Sought) as well as oral presentations.
  • Support the capture planning process through drafting proposal documents, content development, data management and documentation, editing, maintaining deadlines, , managing content and communications with subject matter experts/project managers, and coordinating with outside team members.
  • Lead and manage major sections or volumes of proposal documents.
  • Lead sub-pack proposals.
  • Lead meetings such as proposal kick-offs and reviews, and lead portions of client management and other meetings as needed.
  • Own the process of writing and editing proposal and supporting sales materials including project descriptions, resumes, market segment overviews, cover letters, executive summaries, etc.
  • Effectively manage and coordinate subconsultant data calls.
  • Comply with our corporate standards to present a consistent appearance/style for presentation graphics, proposals, resumes, and collateral materials.
  • Support development of internal and external marketing communications efforts.
  • Develop familiarity of company project experience and relevancy to project pursuits.
  • Perform QA/QC on proposals and marketing materials.
  • Develop sales acumen to support client management and business development activities including conference preparation, blog and article writing, creating client presentations, among others.
  • Support client management and operational personnel in market research, competitor analysis, and client intelligence.
  • Manage organization of marketing material for ease of use including recording information in our client relationship management database (CRM) and keeping shared files accurate and up to date.

  • B.A. or B.S. or equivalent experience in A/E/C marketing required.
  • 6+ years of AEC industry experience, personally producing proposals and managing proposal efforts required.
  • Exceptional written and oral communications skills.
  • Strong project management and organizational experience, self-motivated with the ability to prioritize and maintain concurrent deadlines.
  • Must have extensive MS Office Suite (Excel, Word, PowerPoint), and Adobe InDesign and Acrobat experience. Other Adobe Creative Cloud (Photoshop, Illustrator) and graphics software would be a plus.
  • Knowledge of database/CRM systems, specifically Deltek Vision and/or Vantagepoint, a plus.
  • Effective proposal coordination skills, including strong attention to detail, planning, organization, problem identification and resolution, and resource management skills.
  • Strong interpersonal skills and prior experience working collaboratively.
  • Must be available to work overtime as necessary to meet business requirements.
  • While this is a remote position, occasional travel to Dewberry’s Fairfax, VA headquarters and regional offices is required.

Must have a valid driver’s license, good driving record and ability to pass a driving record background check.
