Responsibilities

  • Act as the primary point of contact between executives, employees, clients, and external partners

  • Manage information flow and ensure timely, accurate communication

  • Maintain executives’ calendars, schedule meetings, and coordinate travel and accommodations

  • Track daily expenses; prepare weekly, monthly, and quarterly reports

  • Oversee and support the performance of other clerical staff

  • Draft, proofread, and format documents for internal and external communication (memos, emails, presentations, reports, and grants)

  • Take and distribute meeting minutes

  • Screen and direct phone calls; manage correspondence

  • Assist in preparing proposals, grant applications, and marketing materials

  • Organize and maintain the office filing system; ensure a clean and organized workspace

  • Support special projects and company initiatives as assigned

  • Create email newsletters

Qualifications

  • Strong proficiency with Google Docs, Sheets, and Slides

  • Excellent organizational and time management skills

  • Keen attention to detail and accuracy

  • Excellent verbal and written communication skills

  • Discretion and ability to maintain confidentiality

  • Familiarity with office equipment and applications (e.g., e-calendars, copy machines)

  • Experience with Asana or other project management software is a plus

  • Bachelor’s degree, or enrollment in a 2- or 4-year degree program preferred
