Executive Assistant to Leadership

We're looking for an exceptional Executive Assistant to join our team and serve as a trusted partner to leadership. In this highly visible role, you'll help executives navigate complex schedules, priorities, and organizational initiatives while ensuring operations run smoothly and efficiently.

What You'll DoExecutive Partnership & Strategic Support
  • Partner closely with executive leaders to manage priorities, maximize productivity, and support key business objectives.
  • Coordinate highly complex, multi-time-zone executive calendars while balancing competing demands and shifting priorities.
  • Anticipate needs, identify potential conflicts, and proactively create solutions that keep leaders focused on strategic decision-making.
Leadership Operations & Meeting Management
  • Drive executive operating rhythms by coordinating recurring leadership meetings, planning cycles, executive forums, and organizational cadences.
  • Plan and execute leadership meetings, offsites, all-hands meetings, and special events from concept through execution.
  • Prepare agendas, presentation materials, communications, and meeting resources with exceptional attention to detail.
Travel, Logistics & Expense Management
  • Arrange and coordinate complex domestic travel and logistics while ensuring compliance with company travel and expense policies.
  • Prepare, submit, and track executive expense reports accurately and efficiently.
  • Manage schedules, itineraries, and travel-related communications to ensure seamless experiences.
Cross-Functional Coordination
  • Build strong relationships across departments, leadership teams, and external stakeholders to drive alignment and execution.
  • Partner closely with fellow administrative professionals to support business priorities and organizational initiatives.
  • Coordinate workspace, resource planning, and team logistics during periods of growth, organizational change, or office moves.
Process Excellence
  • Continuously improve administrative processes by leveraging tools, templates, and best practices.
  • Handle sensitive and confidential information with the highest degree of professionalism, discretion, and sound judgment.
  • Create efficiencies that help leadership teams operate effectively in a dynamic environment.
What You BringRequired Education & Experience
  • Bachelor's degree in a related field or an additional four years of relevant experience in lieu of a degree.
  • 4-8 years of progressive administrative or executive support experience.
Preferred Qualifications
  • Proven experience supporting C-suite executives or leaders within a complex, matrixed organization.
  • Experience planning and managing events, meetings, and executive forums for diverse audiences.
  • Strong experience coordinating complex domestic travel and executive logistics.
  • Demonstrated success supporting leadership operating rhythms, planning cycles, and executive meeting cadences.
  • Proficiency with productivity and collaboration tools.
  • Exceptional organizational, communication, and prioritization skills.
  • Ability to remain calm, adaptable, and effective in ambiguous, fast-changing, and high-pressure situations.

Pay and Benefits

The pay range for this position is $32.00 - $38.00/hr.

Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
