Executive Program Assistant information

What is an executive program assistant?

Executive Program Assistants are professionals who provide administrative and organizational support to executives or senior managers, often within a specific program or department. Their duties typically include scheduling meetings, managing communications, preparing reports, coordinating events, and assisting with project management. They serve as a key point of contact between executives, staff, and external stakeholders, helping ensure the smooth operation of programs. Strong organizational, communication, and multitasking skills are essential for success in this role.

What are the key skills and qualifications needed to thrive as an executive program assistant?

To thrive as an Executive Program Assistant, you need strong organizational, multitasking, and administrative skills, often supported by a bachelor's degree or relevant experience. Familiarity with office software suites, scheduling tools, and project management systems is typically required. Excellent communication, discretion, and problem-solving abilities are crucial soft skills for supporting executives and coordinating complex programs. These skills ensure seamless operations, effective support for leadership, and the successful execution of organizational initiatives.

How does an executive program assistant typically support cross-functional teams within an organization?

Executive Program Assistants are often at the center of cross-functional collaboration, coordinating schedules, preparing meeting materials, and ensuring communication flows smoothly between departments. They may facilitate project timelines, track deliverables, and act as a liaison between executives and various teams. This role requires strong organizational and interpersonal skills, as you'll frequently interact with staff across all levels and must be adept at prioritizing competing demands. Successfully supporting cross-functional teams is key to ensuring that organizational initiatives progress efficiently and on schedule.

What is the difference between Executive Program Assistant vs Administrative Assistant?

The main difference is that an Executive Program Assistant focuses on supporting specific programs and executive-level staff, often requiring specialized knowledge and experience. An Administrative Assistant provides broader administrative support across departments. Both roles require strong organizational skills, but the Executive Program Assistant typically works more closely with high-level management on specialized projects.

Job description

Bridger Photonics, Inc. creates and deploys innovative LiDAR sensors for the Oil & Gas and Industrial Manufacturing industries. Our airborne LiDAR sensors are transforming the way the Oil & Gas industry discovers and manages natural gas (methane) leaks. This opportunity is resulting in significant and rapid growth for our company.

As we scale toward a global footprint, our executive team’s time is one of the company’s scarcest resources. This role protects it.

About the role

We are seeking an Executive Assistant to support our Executive Team, working most closely with the Chief Executive Officer. The role reports to the Manager, Executive Operations and is based on site in Bozeman, Montana. At about 175 employees, Bridger is a place where you will build strong relationships with the people you support and will see the impact of your work directly.

You will own calendars, travel, expenses, meeting logistics, and materials production for the executive eams. You will also plan and execute company events and culture programming, including team gatherings, recognition programs, and on-site customer visits.

What you'll do
  • Manage executive calendars and scheduling across the leadership team.
  • Coordinate domestic and international travel end to end — flights, ground transportation, lodging, conference registration, itineraries, and rebooking when plans change
  • Run meeting logistics: scheduling, rooms, video conferencing, catering, and distribution of materials
  • Produce and format meeting materials, including decks, agendas, and pre-reads
  • Plan and execute company events and culture programming from budget and venue through day-of execution, as well as manage event vendors, contracts, catering, and run-of-show
  • Process expense reports and corporate card reconciliation.
  • Proofread and format executive correspondence and presentations; draft routine communications
  • Serve as the scheduling and logistics point of contact for employees, customers, investors, board members, and partners requesting executive time
  • Handle confidential information with discretion
  • Ready meeting spaces and host visitors on site
  • Anticipate needs, identify potential issues before they arise, and proactively develop solutions
Qualifications
  • 3–5 years supporting senior leaders in an executive assistant, administrative, or coordination role, including direct exposure to C-suite executives
  • Demonstrated ability to support more than one executive at a time and make sound calls about competing demands
  • Exceptional organizational skills and attention to detail
  • Strong written and verbal communication; professional presence with board members, investors, and customers
  • Proven discretion and mature judgment handling confidential and sensitive information
  • Experience planning and executing events or company gatherings, including vendor and budget management
  • High proficiency with Microsoft 365, calendaring, video conferencing, and collaboration platforms such as Slack or Teams
  • Self-motivated and effective in a fast-moving environment where priorities shift
  • Service-oriented and low-ego; takes pride in making other people effective
Preferred Qualifications
  • Experience at a growth-stage technology, energy, or scientific company
  • Experience coordinating complex international travel
  • Familiarity with travel and expense platforms (Concur, Expensify, Navan, Ramp, or similar)
  • Event planning at company scale (50+ attendees), including multi-day or off-site programs
  • Comfort using AI tools for drafting, summarizing, and research
Additional Information
  • Bridger Photonics, Inc. is an Equal Opportunity Employer.
  • United States Employment Eligibility: Bridger does not offer visa sponsorships. If you are hired, you will be required to fill out the US Department of Homeland Security’s I-9 form confirming you are able to work in the US.
