Overview 

At RAZR, our people are our greatest asset. We are seeking an organized, proactive Executive & Personal Assistant to provide administrative and office support across the organization, with a primary focus on supporting the Senior Leadership Team (SLT). This role requires professionalism, discretion, exceptional organizational skills, and the ability to anticipate needs before they arise. The ideal candidate excels at managing multiple priorities, coordinating schedules, and maintaining a high level of confidentiality while helping the office operate efficiently. 

Administrative Assistant Job Responsibilities 

  • Provide administrative support to ensure efficient operation of the office 

  • Manage executive calendars, scheduling, and meeting coordination 

  • Coordinate and book business travel arrangements 

  • Manage the quarterly employee engagement survey 

  • Coordinate the monthly MVP and quarterly Rockstar recognition programs 

  • Schedule and coordinate SLT quarterly offsite meetings 

  • Assist with new hire training  

  • Maintain and update RAZR's Accountability Chart 

  • Provide administrative support for the Vancouver, BC office as needed 

  • Perform other duties and special projects as assigned 

Office Assistant Job Responsibilities 

  • Coordinate, schedule, and prepare conference rooms for internal meetings and client visits 

  • Welcome and assist office guests and clients 

  • Answer incoming phone calls and manage voicemail messages 

  • Maintain office supplies and vendor orders 

  • Coordinate incoming and outgoing mail and shipments 

  • Assist with new hire office setup, including workspace preparation and welcome bags 

  • Maintain a clean, organized, and professional office environment 

  • Lead the Events Committee by planning and coordinating company events, including food orders, decorations, promotional materials, prizes, setup, cleanup, and event photography 

  • Coordinate company-sponsored events, including the annual Summer Party, Holiday Party, and other employee events 

  • Participate in the RAZR Philanthropy Committee 

  • Coordinate travel arrangements as needed 

  • Perform other duties and special projects as assigned 
     

Qualifications 

  • Proficiency in Microsoft Office, including Outlook calendar management and PowerPoint 

  • Excellent organizational, time management, and multitasking skills 

  • Strong verbal and written communication skills 

  • Ability to prioritize competing responsibilities and meet deadlines 

  • Ability to build effective working relationships with leaders across the organization 

  • Strong business acumen and sound professional judgment 

Education & Experience 

  • 3-4 years of administrative assistant experience 

  • 1-2 years of office administration experience 

  • High school diploma or equivalent education required
