Sr. Executive Assistant

About the Role: We are seeking a highly organized, proactive, and discreet Executive Assistant / Personal Assistant to support the CEO and senior leadership. This individual will serve as a trusted partner, helping leadership stay organized, prepared, and focused while managing a combination of executive business responsibilities and personal priorities. The right candidate will thrive in a fast-paced, fluid environment, anticipate needs before they arise, handle confidential information with sound judgment, and move comfortably between high-level executive support and day-to-day personal logistics. The role is based in the Tampa area and requires flexibility to provide in-person support, local coordination, and occasional after-hours assistance when needed. This role provides the opportunity to work closely with senior leadership at a recognizable national QSR brand and become a trusted part of the team behind the business. You will have direct visibility into executive priorities, support important initiatives, and play a meaningful role in helping leadership operate efficiently in a fast-moving environment.

What You'll Do (Core Impact Areas): Executive & Business Support Manage complex and changing executive calendars, meetings, appointments, and priorities. Coordinate domestic travel, accommodations, transportation, itineraries, and related logistics. Prepare executives for meetings with agendas, background information, talking points, and briefing materials. Track follow-ups, commitments, deadlines, and action items to help ensure timely execution. Serve as a professional liaison between executives, internal teams, Franchisees, vendors, partners, and other stakeholders. Draft, review, proofread, and organize executive communications, emails, presentations, and other materials. Help leadership prioritize competing demands and remain focused on the highest-value activities. Personal Assistant Support Coordinate personal appointments, errands, reservations, travel, deliveries, and other day-to-day needs. Assist with household service providers, purchases, scheduling, and vendor communication as requested. Handle time-sensitive personal matters with discretion, professionalism, urgency, and attention to detail. Provide local, in-person support throughout the Tampa area when needed. Maintain clear boundaries and confidentiality while balancing both business and personal priorities. Operations & Administrative Support Maintain organized digital files, records, documents, and confidential information. Manage expenses, receipts, reimbursements, and light administrative tracking. Support special projects, research assignments, executive initiatives, and cross-functional priorities. Anticipate potential scheduling or logistical issues and proactively develop solutions. Adapt quickly as priorities shift in a fast-moving QSR and corporate environment.

What You Bring (Must-haves): 5+ years of experience supporting C-suite executives or senior leaders as an Executive Assistant, Personal Assistant, or similar role. Must live in the Tampa, FL area and have reliable transportation for local errands, appointments, and in-person support. Exceptional organization, communication, time-management, and follow-through skills, with an attention to detail. Demonstrated ability to handle highly confidential business and personal information with discretion and sound judgment. Excellent proficiency with Microsoft Office, calendar management, and scheduling tools. Ability to work independently, stay responsive, and proactively solve problems with limited direction. High energy and the ability to thrive in a fast-paced, fluid environment with changing priorities.

Work Environment & Essential Physical Requirements: Location: Tampa, FL at the Restaurant Support Center (RSC) Travel Expectations: Occasional travel to and for company events; valid driver's license may be required. Individual must live in the Tampa area and is required to be in the Restaurant Support Center or Innovation Center, Mon-Fri. Ability to sit for extended periods (4–6 hours/day) in a hybrid corporate or home office setting. Ability to stand, walk, and move throughout a corporate facility during in-office days, employee meetings, or multi-department coordination activities. Ability to communicate clearly and effectively in person, by phone, and via virtual platforms throughout the workday. Occasional lifting or carrying of materials up to 20 lbs. Visual acuity to review documents, schedules, reports, and digital materials with or without corrective lenses.
