Job description

Overview:

This role supports a high-profile founder, entrepreneur, and public figure across both professional and personal domains. The position requires exceptional discretion, agility, and judgment, with the ability to operate seamlessly in a fast-paced, high-demand environment. The Assistant will serve as a trusted right hand, ensuring all aspects of the Principals life and business run efficiently and proactively.

Responsibilities include but are not limited to:

Calendar & Schedule Management:

  • Manage a highly dynamic and complex calendar across business and personal commitments. Prioritize meetings, resolve conflicts proactively, and ensure optimal time allocation across executives, advisors, legal/financial partners, and personal obligations.

Meeting & Communication Coordination:

  • Oversee all scheduling logistics for meetings and calls (virtual and in-person), ensuring all details are handled (agendas, materials, locations, technology). Act as a gatekeeper, prioritizing inbound communication and aligning access with the Principals preferences.

Travel & Logistics Management:

  • Coordinate comprehensive, high-touch domestic and international travel, including commercial and private aviation, luxury accommodations, ground transportation, security considerations, and detailed itineraries. Manage travel for both business and personal needs, including family or key partners as required.

Project & Operations Support:

  • Assist in coordinating projects across multiple business ventures and external partners. Track deadlines, organize materials, and ensure follow-through on deliverables. Bring structure to evolving priorities and initiatives.

Personal & Business Administration:

  • Manage expenses, banking requests, and financial coordination in partnership with relevant teams. Handle document organization, correspondence, and administrative tasks such as filings, scanning, and record-keeping.

Email & Information Management:

  • Monitor and organize high-volume email communications. Draft responses, manage invitations/RSVPs, and ensure timely follow-up on priority items.

Lifestyle & Personal Support:

  • Coordinate personal appointments, reservations, purchases, and errands. Oversee day-to-day logistics across both office and household operations.

Vendor & Relationship Coordination:

  • Liaise with external partners including legal, financial, media, and business contacts. Maintain professionalism and discretion in all interactions.

Confidentiality & Discretion:

  • Handle sensitive personal and business matters with the highest level of confidentiality, integrity, and professionalism.

Qualifications:
  • Minimum of 5+ years supporting a high-level executive, founder, or public figure
  • Experience managing complex calendars, high-volume communications, and luxury travel logistics
  • Strong technical proficiency in Microsoft Office (Outlook, Excel, PowerPoint) and scheduling tools
  • Proven ability to handle confidential information with discretion
  • Exceptional organizational, time management, and multitasking skills
  • Strong interpersonal skills with the ability to interface across diverse stakeholders
  • Professional maturity, flexibility, and a no task too big or small mindset
  • Bachelors degree preferred
