The Job Opportunity:


We are seeking a hardworking, bright, and thoughtful administrative professional to join our team as Executive Office Coordinator. The position is an integral part of the Towerpoint Wealth team, reporting directly to the Director of Operations, and requires working closely with both internal team members and external clients and visitors.


The goal: Servicing and taking care of Towerpoint Wealth clients, setting others at ease, and WOWing anyone who walks in the door.

This position offers an opportunity to develop and cultivate warm professional relationships with Towerpoint Wealth clients and other friends of the firm. The Executive Office Coordinator will be hyper-organized and will ensure that anyone who interfaces with Towerpoint Wealth experiences a welcoming, professional, and respectful environment.

Location: 500 Capitol Mall, Downtown Sacramento California


Status: Full-time


Schedule: Monday Friday

  • 8:00 am - 4:30 pm, with some flexibility on start time
  • Some evening and weekend work required.


Compensation: $28.00 - $34.00 per hour, depending on experience

Primary responsibilities may include the following:


  • Present a positive first impression of Towerpoint Wealth both in office and by phone and email.
  • Provide accurate information to associates, and vendors via phone, email, and in-person.
  • Manage daily in-office reception, greeting and ensuring the comfort of all clients and office visitors.
  • Collaborate with Towerpoint Wealth staff to ensure effective office efficiency.
  • Coordinate all in-office meeting logistics and refreshments for visitors.
  • Operate and display proficiency in VOIP phone system.
  • Answer and coordinate all incoming calls with warmth and professionalism.
  • Perform as-needed clerical duties such as mailing, filing, copying.
  • Manage Excel sheets and data to provide and submit accurate and timely data to other parties.
  • Customize and prepare presentation decks for internal and external use.
  • Coordinate and plan team community service and sponsorship events.
  • Develop and maintain internal procedure documents for the Executive Office Coordinator position.
  • Apply strategic thinking and assessment to each interaction internally and externally.
  • Coordinate and plan team building events.
  • Run errands for supplies, pick up items, etc.
  • Manage and monitor the upkeep of the office lobby, kitchen, huddle room, meeting room, and plants.
  • Coordinate and manage supply inventory and food for office.
  • Perform various office support functions


Desired QUALIFICATIONS:


Education and/or Experience


  • High School diploma or GED.
  • Minimum of three years of working in in a support role for a customer-oriented office environment; or an equivalent combination of education and experience.


Requirements


  • Strong client management skills.
  • Ability to multi-task, prioritize workload, and be committed to a high level of customer service.
  • Strong written and oral communication skills.
  • A high level of ATD (attention to detail).
  • Highly organized.
  • Solid knowledge of Microsoft Office products.
  • Knowledge of Salesforce CRM software is a plus.
