Salary: $80,000-$85,000 Depending on Experience

POSITION SUMMARY
Reporting to the Chief Operating Officer (COO), the Executive Manager-Operations, serves both as an administrative and strategic support, managing priorities, overseeing key projects, facilitating communication, and ensuring organizational alignment to maximize the Operations Department’s effectiveness. The Executive Manager is managing special initiatives, preparing department leaders for meetings, acting as a liaison, and handling internal/external communications, effectively functioning as an operational “air traffic controller” and integrator for the Operations Department's vision.
In addition, he/she performs administrative functions for the COO, including calendar management, email follow-ups, travel and expense reports.
DUTIES amp; RESPONSIBILITIES
Key Duties
Administrative Support: Act as “right hand” to the COO, anticipating his business needs and proactively addressing them. Continuous support with emails, calendar, travel, and expense reports.
Contract Reviewing: Conduct initial administrative reviews of contracts, vendor agreements, and other operations-related documents to ensure completeness, correct formatting, and alignment with institutional standards prior to submission for executive review.
Budget monitoring: Support operational leadership in monitoring departmental budgets by tracking expenditures, maintaining financial records, and ensuring projects remain within approved financial allocations.
Meetings Management: Proactively manage COO’s schedule and coordinate times, subjects, and objectives of meetings as well as follow-ups. Prepare leaders with necessary materials for meetings, note taking when required, and ensure follow-up action items.
Logistics: Booking and coordinating travel for external partners for Museum-sponsored activities to include airline, hotels, ground transportation, dining, and other essential needs as requested.
Leadership Support: Act as a confidante, advisor, and sounding board, helping the COO prioritize time and focus on high-impact activities.
Problem-Solving: Solve problems and remove roadblocks before they reach the COO, often mediating disputes and acting as an "honest broker."
Communication amp; Liaison: Filter information, optimize communication flow between Operations leadership and the organization, and assist with internal/external messaging (speeches, newsletters).
Data amp; Reporting: Partner with directors to develop reports or presentations.
Operational Efficiency: Identify inefficiencies, track performance metrics, and ensure cross-functional teams collaborate effectively.
Project Management: Coordinate strategic initiatives, manage timelines, and liaise with stakeholders.
Representing the Executive: Occasionally attend meetings and represent the COO's interests in his absence.
Culture amp; Engagement: Implement programs to improve employee engagement and department culture (monthly meetings, department outings, development opportunities etc.).
Specific tasks include:
  • Manage daily calendar entries
  • Prioritize and respond to all emails within a reasonable time frame
  • Manage internal and external communications
  • Plan and organize meetings with internal and external teams
  • Arrange business travel
  • Manage COO expense reports
  • Manage department supplies
  • Provide support as requested to Operations Division directors and partners (Guest Relations/Engagement, Museum Store/Retail, Operations, Facilities, Food amp; Beverage, Security)
  • Assist with budget management across COO departments
  • Ensure compliance with company guidelines, deadlines, and design standards.
  • Maintain practical working relationships and camaraderie with Executive Assistants/Executive Managers in the organization, mutually providing assistance for company-wide projects and events
  • Manage special internal and external projects
  • Coordinate with Executive Assistants/Executive Managers on supplies ordering/maintenance and kitchen re-stocking on a rotation
  • Other Duties as Assigned.
QUALIFICATIONS amp; REQUIREMENTS

Education
  • Bachelor’s degree in related field preferred, or
  • HS Diploma/GED-equivalent with corresponding experience.
Knowledge
  • At least 2 years of experience as an executive assistant to a C-Suite leader or in project management, handling all aspects of administrative work, including email/calendar management, expense reporting, and dynamic travel arrangements
  • Knowledge of standard office procedures
  • Familiarity with museums and operational duties is preferred
  • Familiarity with managing budgets in a museum setting is preferred.
Skills / Core Competencies
  • Solid experience with MS Office Suite, project management platforms, and spreadsheets
  • Strong communication skills, via phone, email, and in person
  • Excellent organizational and project management skills
