Are you an organized professional who thrives in a fast-paced environment and enjoys supporting both office and field operations? We're seeking an Office Administrator / Workforce Coordinator to join our team in Fredericksburg, VA.

Administrative & Office Support
  • Manage incoming phone calls, emails, and correspondence professionally
  • Schedule appointments, meetings, interviews, and training sessions
  • Maintain calendars and coordinate office activities
  • File, scan, and organize physical and digital records
  • Perform accurate data entry and maintain company databases
  • Prepare reports, spreadsheets, presentations, and other business documents
Payroll & Workforce Coordination
  • Process and maintain weekly payroll records with a high degree of accuracy
  • Track employee timecards, attendance, and workforce data
  • Assist with employee onboarding and new hire documentation
  • Maintain employee files and workforce records
  • Coordinate trade testing, skills assessments, and certification tracking
  • Support recruiting and workforce development initiatives as needed
Safety & Compliance Support
  • Track employee safety training and certifications
  • Assist with safety audits, inspections, and compliance documentation
  • Monitor and maintain safety records and reporting requirements
  • Follow up on corrective actions and ensure proper documentation is maintained
  • Support company safety initiatives and compliance programs
Communication & Team Coordination
  • Serve as a professional point of contact for employees, clients, vendors, and visitors
  • Coordinate communication between office staff, field personnel, and management
  • Support project managers and operational leaders with administrative needs
  • Assist in planning meetings, events, and company activities
Organization & Project Support
  • Manage multiple priorities and deadlines effectively
  • Track project milestones, staffing needs, and administrative tasks
  • Assist with process improvements and office procedure development
  • Ensure administrative processes are completed accurately and on time

Previous administrative, office coordination, or workforce support experience

  •  Strong organizational skills with the ability to manage multiple priorities

  • Excellent verbal and written communication skills

  • High level of professionalism and attention to detail

  • Ability to maintain confidentiality and handle sensitive information

  • Strong customer service and interpersonal skills

  • Proficiency with:

  • Microsoft Word
  • Microsoft Excel
  • Microsoft Outlook
  • Microsoft PowerPoint
  •  Experience with data entry, recordkeeping, and document management


Preferred Qualifications:

  • Experience supporting construction, skilled trades, manufacturing, or industrial operations

  •  Payroll processing and timekeeping experience

  • Experience with safety compliance tracking, audits, and reporting

  • Human Resources or employee onboarding experience

  •  Experience coordinating trade testing, certifications, or workforce development programs

  • Experience developing office procedures and improving operational processes
