Job description

I have a full time opportunity for a VIP/Executive IT Support Engineer for one of our leading clients in Midtown Manhattan.  In this role, you will respond to L2/L3 support tickets and report into the Director of IT Infrastructure.  You will primarily support an executive team of 8 people (both Windows & MAC). 

This role is 4 days onsite and one remote.
Responsibilities

  • Provide proactive and responsive L2/L3 support for executives and their assistants— Windows/macOS, iOS/Android, M365 (Outlook, Teams, OneDrive, SharePoint), and core line-of-business apps.
  • Manage and troubleshoot Microsoft Outlook and related email services, including calendar delegation, mailbox permissions, synchronization issues, and integration with mobile devices.
  • Proactively monitor and resolve email delivery issues, spam filtering, phishing alerts, and security-related incidents to ensure uninterrupted executive communication.
  • Rapid incident triage, root-cause analysis, and resolution; escalate to engineering/security as needed.
  • Maintain executive device fleet: laptops, tablets, phones, peripherals; perform imaging, updates, backups, encryption, and lifecycle management.
  • Set up and support board meetings, town halls, and executive presentations (Teams/Zoom, conference room AV, microphones, cameras, switchers).
  • Conduct pre-flight checks, live monitoring, and post-event debriefs; prepare contingency plans.
  • Coordinate with Facilities/AV vendors for reliable, high-quality experience.
  • Configure and manage mobile devices (MDM/Intune), hotspot connectivity, and secure remote access (VPN)
  • Provide travel kits, adapters, and international connectivity support; create executive travel checklists.
  • Uphold privileged access practices: MFA, conditional access, privileged account management, phishing awareness, and secure data handling.
  • Support incident response activities for executive accounts/devices; ensure encryption, endpoint protection, and secure collaboration.
  • Handle sensitive information with strict confidentiality.
  • Coach executives and EAs on best practices in Outlook/Teams calendar delegation, meeting workflows, signature management, OneDrive/SharePoint rights, and file collaboration.
  • Create concise quick-reference guides and one-pagers tailored to executive preferences.
  • Maintain executive technology standards, runbooks, device inventories, and support documentation.
  • Track SLAs/OLAs for executive tickets; provide regular status updates to leadership.
  • Partner with infra/network/security teams on changes that may affect executive services; participate in change windows where needed.

Qualifications

  • Solid experience providing executive/VIP support in a mid-to-large organization preferred, but open to 3-5 years of direct executive/VIP support experience and service orientation.
  • Strong knowledge of Windows, macOS, iOS/Android, Microsoft 365, Exchange Online, Teams, SharePoint, OneDrive, and Microsoft Intune.
  • Experience supporting conference room technologies, AV systems, Teams Rooms, Zoom Rooms, and executive presentations.
  • Working knowledge of networking fundamentals (Wi-Fi, VPN), hardware, peripherals, and endpoint device management.
  • Understanding of cybersecurity best practices, including MFA, Conditional Access, endpoint protection, encryption, phishing prevention, and secure collaboration.
  • Microsoft, ITIL, or other relevant technical certifications are preferred.
  • Strong executive/VIP support experience and a true white-glove service mindset
  • Excellent communication and interpersonal skills
  • Professional, patient, discreet and comfortable working directly with senior executives
  • Strong general Windows, Mobile device, Outlook/Microsoft 365 and end-user troubleshooting experience
  • Comfortable supporting executive meetings, conference rooms and presentations
  • Strong problem-solving skills and, most importantly, ownership — if you don't know the answer, someone who is able to bring in the right resources until it is resolved
  • Collaborative team player
  • Ability to be onsite in NYC four days per week and responsive when executive needs arise
