Job Summary
A full-time Executive Assistant is needed to support both the Managing Partner and the President of NASB. This position requires someone who can support the Executive Team with a problem-solving mindset in any situation.
Primary Responsibilities
  • Prioritize supervisor needs, client projects, and other responsibilities in the fast-paced environment of a Sales Organization
  • Continually adjust meeting schedules according to supervisors' preferences
  • Provide travel options and book reservations for flights, hotels, cars, restaurants, and other events for Executive Team
  • Screen emails, phone calls, mail and internal requests for meetings as the gate-keeper for both the Managing Partner and President of NASB
  • Create production reports for entire NASB production and email to NASB partners
  • Collect Financial reports from Integrity Accounting for NASB, Milner Financial, HarveyTime, and Elevation and send to Chad for review
  • Receive all bills for NASB, review, and submit to be paid for NASB through Bill.com/Coupa
  • Summarize all bills for NASB monthly and send to Executive team for review
  • Organize budget for NASB with Executive Team and review monthly for budget performance review
  • Attend all Financial meetings with Integrity for NASB/Milner Financial and summarize calls for Executive Team
  • Reconcile and submit expense reports in Concur/Coupa for Executive Team
  • Order meals according to the needs of the Executive Team
  • Manage NASB Reward Jacket program for NASB agents
  • Assist Travel Coordinator position with Partner Trip Annually
  • Assist Travel Coordinator position with NASB Convention Annually
  • Assist Travel Coordinator position with NASB agent Trip Annually
  • Participate in "partner chat" text message groups to monitor and participate in the NASB partners group chat to collect relative business information from leadership in the field
  • Other duties as assigned

  • Completely trustworthy in maintaining confidentiality with high-level company documents and meetings
  • Highly professional with phone and email communication, especially with clients
  • Proficient in Microsoft Word, PowerPoint, Excel, and Outlook
  • Proficient in writing, editing, and typing skills

  • Excellent organizational skills and self-motivation without supervision
  • Maintain a positive, can-do attitude under pressure
  • Able to learn new skills and work overtime frequently as needed by supervisors
