Executive Assistant

A premier global investment firm is seeking a high-caliber Executive Assistant to provide primary 1:1 support to a Senior Portfolio Manager, who is essentially a C-Suite Executive. This is a "plug and play" role for a seasoned professional who thrives in a fast-paced, global finance environment. You will be the central pillar of this executive's professional life, working alongside a Chief of Staff and a dedicated Personal Assistant to ensure seamless operations across all time zones. Compensation: $150,000 – $250,000 base range + discretionary bonus + top-tier benefits package, PTO, 401k match Hours: 8:00 AM – 6:00 PM with a "24/7 Mindset": Given the executive's global travel schedule, you must be flexible and reachable after hours to handle urgent changes across various time zones.

Location: Midtown NYC (Hybrid: 4 Days Onsite / 1 Day Remote) Core Responsibilities Include: • Masterful Calendar Management: Act as the strategic gatekeeper for a back-to-back schedule. You will prioritize high-volume requests via Outlook with precision and foresight. • Complex Global Logistics: Coordinate heavy, often sporadic, international and domestic travel. This includes detailed itineraries, visas, and 24/7 monitoring of travel shifts across global time zones. • High-Touch Liaison: Serve as the primary point of contact for internal and external stakeholders, ensuring unwavering professionalism and absolute discretion. • Operational Excellence: Manage complex expenses, maintain detailed compliance/tax logs, and oversee the executive's tech/comms (phones, etc.). • Tactical Execution: No task is too large or small. You will prepare high-level presentation materials and agendas one moment and ensure the executive has coffee between back-to-back meetings the next.

Candidate Profile • Significant experience (7-10+ years) in a 1:1 senior-level support role, ideally within Finance or a similarly high-pressure sector. • A proven track record of stability and commitment in previous roles. • Proficiency in Microsoft Outlook is mandatory. Familiarity with Excel, Word, and PowerPoint for reporting and presentations. • An intuitive ability to anticipate needs before they arise and solve complex logistical puzzles independently. • While a degree is not required, exceptional written and oral communication skills are essential.
