Job Description

This Executive Assistant position offers a unique opportunity for the right candidate as it is both a highly strategic and administrative role in the Office of the CEO. The ideal candidate is a team player, bringing a combination of focus, flexibility and resilience, as well as a willingness to play a 24/7 active role in supporting the CEO. The successful candidate is a highly resourceful individual with strong emotional
intelligence, self-motivation, integrity and commitment to superior service.

  • Extensive scheduling and calendar coordination: Tracking of daily scheduling, personal appointments, special events, social functions, and conference calls.
  • Organize and arrange for vendors and catering as needed for meetings and events.

  • Keep CEO's calendar accurately updated and key people apprised of changes.

  • Book domestic and international travel arrangements and create detailed itineraries.

  • Coordinate special projects, special studies and research projects using internet search tools.

  • Perform all administrative functions including meeting material preparations, the taking of minutes at meetings and follow up on assigned items.

  • Maintain an efficient flow of information between executives.

  • Recognize priority, understand complexity of a situation and use sound judgment to make decisions.

Qualifications
  • Candidate should have at least 5 to 10 years of Senior EA experience working in a corporate or financial environment. Private Equity and New Business Development experience is preferred. A combination of experience will be considered.

  • Bachelor's degree preferred.

  • Ability to work flexible hours with 24/7 coverage.

  • High level of organizational skills and resourcefulness with strong internet research skills.

  • Strong attention to detail; ability to multi-task in a fast paced environment under pressure; ability to prioritize and meet deadlines.

  • High level of interpersonal skills and emotional intelligence with the ability to handle sensitive situations and confidential information with utmost care and professionalism.

  • Demonstrator self-starter with the entrepreneurial spirit to get the job done.

  • Extensive knowledge of business operations and high-functioning administrative procedures.

  • Strong analytical and critical thinking skills, including gathering and summarizing data for reports.

  • Ability to edit work for spelling and grammar, and present numerical data effectively.

  • Experience defining problems, establishing facts and drawing valid conclusions while using discretion and good judgment.

  • Polished, professional demeanor able to work effectively with a wide variety of constituents.

  • Advanced knowledge and use of MS Office (Word, Excel, PowerPoint, and Outlook).
