Who You Are

You focus on efficiency, organization, and strong communication to ensure smooth daily operations of executives. You provide high-level administrative and office support to an assigned executive(s) and oversee various office operations.
The Impact You Will Have
As Manager of Executive Support with QTS, you will have the opportunity to work with our executives across the organization and support them to be successful in their day-to-day roles. With customer service in mind, you will not only work with executives, but also their teams in prioritizing meetings, communications, and needs of our executive team. By providing comprehensive administrative, logistical, and project management support to high-level executives, this role is crucial to the success at the top levels of QTS. Critically, this role will lead our executive support team and deliver world-class support to our executives across the organization.
What You Will Do
  • Manage a team of executive and administrative assistants, acting as a leader, mentor, and supporter of the work they do

  • Create policies, processes, and standards that support a best-in-class Executive Support function, evolving as business complexities adjust or change

  • Provide backup as needed in managing an executive's calendar, scheduling meetings, and handling complex scheduling needs

  • Arrange travel itineraries, book flights, hotels, and transportation when needed

  • Handle incoming and outgoing communication, including emails, phone calls, and correspondence, and act as a point of contact for the executive support team.

  • Organize and maintain documents, prepare reports, and create presentations

  • Oversee or assist with special projects and tasks, as needed, to support the executives' needs and objectives

  • Prepare meeting agendas, take minutes as needed, and ensure efficient meeting flow

  • Own a budget, including preparing, maintaining, and balancing of yearly budgets in coordination with leadership

What You Will Need to be Successful
  • Associates degree or higher in a related field, or equivalent professional experience in lieu of a degree

  • Eight or more years of experience supporting executives

  • Five or more years of experience managing teams

  • Strong communication skills

  • Proficiency with technology including MS Office, email and other relevant programs

  • Experience assisting with event planning, including coordinating logistics and ensuring smooth execution

  • Attention to detail and accuracy

  • Problem solving skills

  • Ability to operate with discretion and confidentiality

Other Key Skills
  • Bachelor's degree in a related field

  • Analytical skills, including the ability to perform intermediate level spreadsheet functions

  • Experience writing communications on behalf of leaders for distribution
